About The Position

The Accounting Administrator plays a vital role in supporting the accounting team by performing various administrative and clerical tasks related to invoice processing, customer records and financial record-keeping.

Requirements

  • High school diploma or equivalent required
  • Previous experience in accounting or administrative roles is a plus.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office applications, especially Excel and Outlook; experience with accounting software and Adobe is a plus.
  • Good communication skills and the ability to work well with others.
  • Basic knowledge of accounting principles and practices.
  • Ability to sit or stand for extended periods.
  • Ability to lift up to 25 pounds.

Nice To Haves

  • Associate’s degree in Accounting or related field preferred.

Responsibilities

  • Process vendor invoices as assigned and ensure accurate entry into the accounting system.
  • Assist in the preparation of payment runs, ensuring timely and accurate payments to vendors.
  • Monitor and maintain accurate records of customer information and provide customer service.
  • Assist in the collection of overdue accounts by contacting customers or coordinating with the collections team.
  • Prepare and maintain files for accounts payable, accounts receivable, and other accounting records.
  • Provide support for processing emails and mail.
  • Accurately input financial data into accounting software or spreadsheets.
  • Maintain organized and up-to-date files for financial transactions and supporting documentation.
  • Communicate with vendors, customers, and internal departments to resolve issues related to invoices or payments.
  • Assist with other accounting and administrative tasks as needed.
  • Collaborate with the accounting team to streamline processes and improve operational efficiency.
  • Provide general office support to the accounting team, managing files, and answering inquiries.
  • Assist with other tasks or projects as requested by the Controller or team members.
