About The Position

As a Finish Account Coordinator, you will play a key role in the success of our residential door, millwork, and hardware business by supporting the Finish Sales Specialist. From takeoff and product selection through delivery and invoicing, you'll ensure seamless order execution and excellent customer service while collaborating with multiple teams across the company.

Requirements

  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Basic knowledge of the construction industry and a desire to grow your knowledge.
  • Ability to read and interpret architectural plans, floor layouts, and door schedules, and to identify rough openings and door handing.
  • Comfortable with numbers, fractional measurements, quantity takeoffs, and unit pricing.
  • Professional and friendly demeanor when interacting with others.
  • Ability to stay calm and manage time effectively in a fast-paced environment.
  • Legally authorized to work in the United States and will be verified through the federal E-Verify system.

Nice To Haves

  • Prior experience with doors, millwork, hardware, or building materials.
  • Familiarity with pre-hung door construction, moulding profiles, or residential lockset functions and finishes.
  • Experience with ERP or order entry systems.
  • Ability to adapt quickly to changing priorities.
  • Previous experience in sales or customer service is a plus.

Responsibilities

  • Manage the entire order process for interior and exterior doors, millwork, and finish hardware, supporting the sales team with takeoffs, door and hardware schedules, quotes, change orders, and job tracking to ensure timely and accurate delivery.
  • Verify critical build details before release to the shop: door size and thickness, handing and swing, jamb width, bore and backset, casing and base profiles, species and finish, and hardware function, finish, and keying.
  • Work closely with estimating, purchasing, the door shop/pre-hang team, dispatch, and field/install crews to facilitate smooth handoffs and ensure successful job completion.
  • Serve as a direct point of contact for builders, contractors, and homeowners. Ensure customer needs are met promptly and professionally.
  • Coordinate build and delivery timelines with the shop, scheduling desk, and delivery team so material lands on site at the right stage of the job.
  • Maintain up-to-date records in the ERP and project tracking systems, ensuring job details, quantities, statuses, and delivery dates are accurately tracked.
  • Help customers without a designer or millwork consultant clarify door styles, moulding profiles, and hardware selections, and complete all associated paperwork and confirmations.
  • Proactively identify and resolve special-order lead time issues, backorders, field measurement discrepancies, and shortages before they impact the job.
  • Track punch list items, damage claims, and warranty requests through to resolution.
  • Maintain a professional and friendly approach in all interactions with customers, subcontractors, and colleagues.
  • Balance multiple jobs efficiently, prioritize responsibilities, and complete tasks with minimal supervision.
  • Assist with phone calls, walk-in customers, will-call pickups, and other office duties as required.
