About The Position

The Account Coordinator supports our Account Executives and assists with the coordination of a program’s success. Responsibilities include but are not limited to: Essential Job Functions: Create/develop custom proposals Reserve/confirm vendors, maintaining open communication throughout the proposal and contracting process Generate Letter of Agreement (LOA) s and contracts Create/update sales kits and promotional materials Provide program support (sometimes on-site) as needed Manage and develop vendor library through research (product development) Build strong relationships with customers (internal and external) and vendors/suppliers The position is primarily M-F, 8:30am-5:00pm, however, flexibility is important (evenings/weekends may be required)

Requirements

  • 1-2 years’ experience in the DMC industry and/or event planning preferred
  • In depth knowledge of destination
  • Excellent computer skills in Microsoft Office (Word, Excel, Powerpoint, Outlook)
  • Excellent communication skills both verbal and written. Ability to communicate clearly and concisely, both verbally and in writing.
  • Strong problem-solving and analytical skills including decision making, time management, and task prioritization
  • Manage concurrent projects in deadline driven environment. Must possess the ability to multitask, perform efficiently under tight deadlines.
  • Detail oriented, resourceful and able to work independently as well as with a team
  • Self-starter who can work with minimal direction at tasks with a sense of urgency and dedication to accomplishing them
  • Dedicated office space in your remote location.
  • Requires alertness, attention to detail and concentration.
  • Highly organized and able to adapt quickly to shifting priorities.
  • Able to interpret and follow a variety of instructions furnished in written, verbal diagram or schedule form.
  • Able to work under pressure to meet deadlines, use sound judgment, work cooperatively with others and deal constructively with conflict.
  • Able to handle stressful situations, solve problems and complaints in a timely and professional manner.
  • Able to communicate with vendors and clients (internal and external) over phone and email.
  • Able to constantly operate a computer and other office productivity machinery, such as a copier and printer.
  • Must be able to remain in a stationary position 75% of the time.
  • Talk and write to receive instructions and requests from manager, co-workers, clients and/or vendors.
  • Read, compose, and edit documents and emails from manager, co-workers, clients and vendors.
  • Respond to verbal and written requests/instructions from manager, clients, co-workers, and vendors.
  • Visit different sites (i.e. activity vendors, venues, hotels, etc.).
