About The Position

The Assistant Access Director manages the day-to-day operations of an Access unit within ICE. Responsible for unit performance that meets or exceeds the unit standards; reports directly to Access Director and will comply with all ICE and UAMS policies; will ensure that direct and indirect reports comply as well. Position will serve as an advocate for enhanced performance within the unit. Position supervises staff and ensures all Office of Human Resource policies and regulatory guidelines are followed and is responsible for ensuring unit provides the highest level of customer service.

Requirements

  • Bachelor’s Degree, or equivalent experience.
  • An additional four (4) years of experience in patient scheduling, registration, and/or billing may be substituted in lieu of degree.
  • Five (5) years of experience in healthcare patient scheduling, registration, and/or billing.
  • Two (2) years of supervisory/leadership experience.
  • Displays exceptional supervisory, communication, interpersonal and collaborative skill.
  • Proof of legal authority to work in the United States on the first day of employment.

Responsibilities

  • Oversees the day-to-day operations of an Access unit within ICE.
  • Ensures unit performance meets or exceeds established standards.
  • Complies with all ICE and UAMS policies and ensures direct and indirect reports do the same.
  • Serves as an advocate for enhanced performance within the unit.
  • Supervises staff and ensures adherence to all Office of Human Resource policies and regulatory guidelines.
  • Ensures the unit provides the highest level of customer service.
  • Serves on appropriate Access taskforces and workgroups.
  • Remains up-to-date on specific issues/solutions for registration at local, state, and federal levels.
  • Maintains responsibility for overseeing assigned functions, team building, and employee development.
  • Works jointly with clinical and medical staff to ensure the availability, quality, and effectiveness of services.
  • Is responsible for being available during EPIC scheduled downtimes and staying informed of CSN availability and appropriate use.
  • Provides adequate disaster planning, including mock drills for frontline staff on a quarterly basis.
  • Provides routine engagement supporting team members of all shifts, requiring extended-hours accountability.
  • Ensures adequate staffing coverage is maintained throughout hours of operation.
  • Reviews patient complaints and actively seeks service recovery.
  • Directs daily operations of the unit, including scheduling, registration, and/or authorization for an area with 24/7 patient care services.
  • Schedules staff to meet departmental needs and prioritizes workload daily, adjusting staffing models as needed.
  • Monitors staff performance through monthly quality/productivity audits and establishes performance standards in collaboration with the department director.
  • Identifies relevant trends by reviewing available reports and initiates process improvement activity.
  • Accepts ownership for initiating new or enhanced process improvement projects once sanctioned by the department director.
  • Ensures all departmental and campus policies are followed within the unit.
  • Responsible for staff hiring, new employee onboarding, employee evaluations, and annual training.
  • Facilitates staff development, provides employee coaching, and implements progressive discipline when necessary.
  • Promotes teamwork and role models the core concepts of PFCC.
  • Personally reviews all unit patient complaints and actively seeks resolution and/or service recovery.
  • Monitors patient satisfaction benchmark tools and develops action plans accordingly in conjunction with the department director.
  • Demonstrates knowledge of individual responsibility and ensures staff preparedness following established Joint Commission standards and facility safety and emergency preparedness standards.
  • Develops annual personal goals with the director and seeks continuing education regarding regulatory changes and industry standards.
  • Maintains professional and technical knowledge.
  • Performs other duties as needed.
