About The Position

This position provides administrative support to students, faculty, and staff to address individual needs and challenges. The individual will help support students through referral to appropriate campus resources and collaboration with other support units to ensure timely and effective assistance. This role serves as the first point of contact, managing front office processes to ensure the efficient welcoming and referral of visitors to academic advising in COAS. The specialist performs administrative functions while working directly with students and families to answer educational questions and concerns, providing one-on-one assistance in person, over the telephone, and via email or other written correspondence. This role also involves problem-solving, data collection and analysis under FERPA rules, and may serve as a liaison between university administrators, students, parents, faculty, staff, and others regarding advising activities. Communication with other departments and vendors on departmental business needs is essential. The specialist may recommend policies and procedures to ensure effective coordination of departmental programs and assist in the design, development, and implementation of departmental processes and programs. They will be empowered to address student issues consistent with department and University policies and procedures, and will receive instructions for new projects with specific completion dates.

Requirements

  • Bachelor's degree or a high school diploma and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
  • Experience working in a customer service setting required.
  • Strong interpersonal skills and communication skills (both spoken and written) are required.
  • Must possess a strong sense of the importance of customer service.
  • Must be well organized.
  • Must have capacity to learn and implement strong conflict resolution skills.
  • Must have strong computer skills.
  • Total support of the goals, initiatives, policies and procedures of Academic Advising as set by both the President and the Provost is required.
  • Must be intimately familiar with all aspects of University and College policies along with the operations of other units with whom common collaboration is needed.
  • Must be familiar with or be willing and able to quickly and accurately learn the policies, practices and functions of the University of North Florida.
  • Must be able to perform processing and work tasks.
  • Requires a background check.
  • May require a credit check.

  • Experience in higher education admissions/enrollment services experience strongly encouraged, but not required.

Responsibilities

  • Perform related duties as required or deemed appropriate to the accomplishment of the responsibilities and functions of his/her area(s).
  • Problem solve and trouble shoot.
  • Collect and analyze data as appropriate with discretionary use under FERPA rules, for use in handling all student activities.
  • Serve as liaison between university administrators, students, parents, faculty, staff, and others regarding advising activities.
  • Maintain communication with other departments and vendors on departmental business needs.
  • Recommend policies and procedures to help ensure effective coordination of departmental programs.
  • Assist in the design, development and implementation of departmental processes and or programs.
  • Address issues raised by students consistent with department and University policies and procedures.
  • Work on occasional Saturdays to assist/participate in university events.
  • Perform specific job-related duties at a designated off campus location or place of residence during declared campus emergencies.
