About The Position

In conjunction with the Program Director, this role is responsible for the administration of the program to ensure continued accreditation. This includes managing documentation required by the ACGME, Specialty Boards, and the institution. The position involves front-line interaction with residents and faculty to address daily operational needs, coordination and support of resident recruitment activities, and preparation of rotation, monthly, and call schedules.

Requirements

  • High School Diploma or GED
  • 2 years in an office/administrative environment required
  • 2 years prior graduate medical education experiences as a program coordinator or program specialist, with advanced responsibilities preferred
  • Microsoft Office

Responsibilities

  • Collaborates with Program Director to assure GME program meets or exceeds all accreditation requirements.
  • Interprets ACGME requirements, Institutional Policies and Board requirements to assist with the development, implementation and monitoring of policies and procedures.
  • Coordinates and supports the Clinical Competency and Program Evaluation Committees to ensure established reporting deadlines are met.
  • Supports other program level meetings as needed.
  • Enters, retrieves and analyzes data from the residency management software system.
  • Ensures accurate resident records are kept and maintained.
  • Coordinates GME recruitment and onboarding of matched applicants.
  • Coordinates the preparation, posting and revision of rotation, monthly and call schedules.
  • Coordinates the communication with GME stakeholders (e.g. GME office, participating sites, department, faculty, ACGME, specialty boards) on a regular basis or as needed.
  • Gathers and maintains records for credentialing and reimbursement.
  • Orients and monitors medical student rotations as needed.
  • Maintains confidentiality of sensitive information related to faculty and residents.
