About The Position

Niagara College is seeking an Academic Office Administrator for the School of Media, located at the Welland Campus. This temporary position, commencing in September 2026 and concluding in December 2026, offers an hourly rate of $32.10/hr, with potential for extension. Reporting to the Associate Dean, School of Media, this role provides crucial academic administrative support, ensuring smooth daily operations and planning for future semester needs. The administrator serves as the primary point of contact for staff, students, other college departments, and the public, requiring a high degree of professionalism, confidentiality, independence, initiative, and empathy.

Requirements

  • Two (2) year diploma in any field of study
  • Minimum of three (3) years' experience working in an office administration environment with an educational, government, or large business environment
  • Understanding of electronic reporting systems, and ability to compile and analyze electronic reporting to multiple stakeholders
  • Strong knowledge of Microsoft Excel
  • Excellent communication skills, both verbal and written

Responsibilities

  • Manages Associate Dean’s calendar and electronically schedules meetings and events
  • Reviews student and faculty schedules, gathers feedback from program coordinators and provides a summary to the Associate Dean for consideration and submission to scheduling department
  • Coordinates activities related to Program Quality Assurance cycles, including minute-taking, meeting coordination, agenda preparation, room bookings and other tasks in collaboration with Centre for Academic Excellence (CAE) staff
  • Analyzes the organization of work assignments, scheduling requirements in labs and classrooms
  • Updates academic documentation required for program changes, course outline modifications, delivery mode adjustments, and textbook updates
  • Compiles and generates information reports arising from the daily academic operation, which may include absence reports, part time payroll reports, overtime reports, Standard Workload Form (SWF) overtime reports, and liaises with various college depts if discrepancies occur
  • Analyzes various Peoplesoft reports to support the Associate Dean in decision making
  • Collects textbook requests and changes, working with the campus bookstore to ensure supply are available for upcoming term
  • Provides support and coordination for academic events
  • Provides support to faculty and support staff by addressing routine inquiries/requests
  • Triages and responds to student issues, providing referrals and next steps
  • Coordinates the collection of time sheets for all part time staff and records this information for accurate recording and submission for part time payroll
