About The Position

This position serves as the Academic Advising Coordinator for Team 3 within the College of Liberal Arts. The role involves leading and coordinating all activities for the team, supervising academic advisors, providing direct advising to undergraduate students, and acting as a liaison to foster collaboration between Student Affairs and the academic departments the team supports. The coordinator is the primary liaison to the Department of Government.

Requirements

  • Bachelor's degree and eight years of experience working with college students or in an academic advising capacity OR Master's degree and six years of experience OR Doctoral degree and four years of experience.

Responsibilities

  • Provide comprehensive leadership to and supervision of an academic advising team, including hiring, evaluating, and fostering staff development.
  • Monitor and assist in new advisor training and continuing education of staff, taking ownership for team efficacy and efficiency.
  • Coordinate academic advising services for undergraduates among team advisors and with embedded academic departments.
  • Serve as a lead advisor for the embedded academic department(s).
  • Liaise with Liberal Arts Student Affairs administration on human resources, budgetary, and other matters.
  • Create, develop, and implement college-wide advising policies and procedures in collaboration with COLA advising leadership.
  • Complete special projects as assigned by the Director of Advising and the Associate Dean for Student Affairs.
  • Provide essential input on curriculum matters and communicate with faculty leadership, course scheduling staff, and degree audit staff.
  • Liaise with appropriate unit administrators to ensure course access and availability for undergraduate students.
  • Act as a liaison between students and department faculty, advising faculty of policies and resources related to student support and academic concerns.
  • Initiate and/or enhance unit-specific or joint programs, projects, organizations, or other co-curricular opportunities in collaboration with unit staff and faculty.
  • Help students identify and pursue educational, life, and career goals.
  • Work with students to develop a plan to timely graduation incorporating course selection, co-curricular and extracurricular opportunities, and university programs and services.
  • Work with students experiencing academic difficulty to identify barriers and strategize action steps, tools, and resources.
  • Create SUCCESS Agreements with students.
  • Encourage student behaviors that develop independence, problem-solving skills, personal well-being, and growth.
  • Make appropriate referrals to department, College, University offices and resources.
  • Participate in the College of Liberal Arts New Student Orientation activities as assigned.
  • Develop educational materials/advising aids for the department.
  • Advise incoming first year and transfer students at spring, summer, fall, and August orientation.
  • Review student records, educate on resources, tools, course selections, and academic options during orientation.
  • Provide registration support to students during orientation.
  • Serve as a point of contact for prospective students via Admissions and the President's Office for student issues/concerns.
  • Increase knowledge, skills, and abilities through continuing education and professional development.
  • Attend meetings/training sessions related to UT, higher education, academic advising, and supported departments/credentials.
  • Attend monthly College Advisors Meetings (CAM’s), monthly Academic Counselors Association (ACA) meetings, and college professional development activities.
  • Advise students during registration and add/drop periods.
  • Assist students with semester course selection, verify course applicability and progress to degree.
  • Support UT students needing assistance to enroll in department courses, respond to registration inquiries, and resolve class availability and time conflict issues.
  • Clear advising holds, assist students with restricted/individual instruction courses.
  • Manage course closing limits, reservations, priorities, waitlists, and prerequisite checks.
  • Collaborate with department staff and faculty leadership regarding registration and class matters.
  • Uphold department registration policies including waitlists and prerequisite systems.
  • Understand and communicate requirements and academic options to facilitate student progress to degree and pursuit of academic goals.
  • Establish rapport and counsel students on educational opportunities and initiatives.
  • Provide information about degree requirements, academic policies, and institutional rules/regulations.
  • Answer students' questions, provide support, and empower them to make informed academic decisions.
  • Assist students with petitions and overrides; create and update degree profiles; keep clear, accurate notes on student interactions; and track student contacts.
  • Maintain and strengthen undergraduate academic programs by participating in meetings and decision-making, providing performance metrics and input, and assisting with administrative tasks.
  • Act in a leadership or support role to carry out projects, programs, activities, and events.
  • Assist in responding to inquiries by email and other means from students and other constituents.
  • Contribute to advising team and department informational and promotional materials.
  • Act as a liaison for Student Affairs and the department/s on and off campus.
  • Serve on committees, working groups, or advisory boards as needed.
  • Serve as a staff facilitator or mentor as needed.
  • Assist with departmental programming focused on undergraduate students.
  • Volunteer for department/college/university events and programs.
  • Represent department and team at VIP and other outreach events as requested.
  • Support other UT, Liberal Arts, and Student Affairs objectives.
  • Cross-train and support colleagues to maximize resources across the unit and ensure students are served.
  • Perform other related functions as assigned.

  • Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
