About The Position

S.A. Comunale is seeking an A&D Administrative Assistant to provide administrative support to the A&D Harrisburg Branch. This role involves general clerical, purchasing, inventory, and accounting responsibilities, as well as project-based work. The ideal candidate will project a professional company image through in-person and phone interactions. Other duties may be required as assigned by the Director of Fire Alarm and Suppression Systems and Field Supervisor.

Requirements

  • High School Diploma or GED is required.
  • 3+ years’ administrative experience is required.
  • Light accounting experience is required.
  • Proven knowledge of Microsoft Office Software (i.e. Word, PowerPoint, and particularly Excel) is required.
  • Knowledge of general office machines and telephone systems is required.

Nice To Haves

  • Previous construction industry experience is a plus.
  • Dispatching experience in a service environment is a plus.

Responsibilities

  • Assisting accounts receivable, including tracking past due accounts for the Alarm Division.
  • Maintaining all records in Falcon, including open tickets, creating new sites, and printing monthly work orders for all eastern alarm technicians.
  • Distributing and tracking national accounts for the Alarm Division.
  • Taking incoming service calls and distributing them to alarm technicians.
  • Assisting in billing and accruals for the Alarm Division.
  • Processing payroll for alarm technicians, including obtaining employee time information, submitting time information to the Payroll department, and checking the edit listing before the check run.
  • Preparing quotes.
  • Mailing, faxing, photocopying, answering phones, and filing as needed.
  • Assisting the Field Supervisor with scheduling manpower for alarm technicians.
  • Attending weekly alarm and detection meetings and taking notes.
  • Dropping off bids and running errands as needed.
  • Ordering material and equipment for Alarm and Detection.
  • Picking up or dropping off permits as needed.
  • Maintaining records of licensing and certifications for assigned personnel for the Alarm Division.
  • Assisting in any issues or corrections needed by the Corporate Branch for the Alarm Division.
  • Handling customer requests for the Alarm Division.
  • Sending monthly CIP reports.
  • Updating the daily Google calendar for fire alarm technicians.
  • Submitting and coding credit card receipts and statements for the Alarm Division.
  • Processing subcontracts and new monitoring contracts for the Alarm Division.
  • Reviewing daily monitoring accounts and updating account information as needed.
