About The Position

The Mayerson JCC is seeking an Administrative Assistant to provide administrative support for the efficient operation of the office. This role involves supporting managers and employees through various organizational and communication tasks. The administrative assistant will handle client communications via phone, email, and in person, ensuring accuracy and quality in all duties. Key responsibilities include managing client inquiries, assisting with COA audit preparation, processing registrations, updating client files in multiple systems (Sales Force, ServTracker, Wellsky), and maintaining Excel databases for billing and tracking purposes. The role also involves generating reports using Serv Tracker and performing other duties as assigned.

Responsibilities

  • Handle client calls, emails, and personal drop-ins regarding questions, changes, and complaints.
  • Update client records, sign people up for programs, and communicate with other departments.
  • Assist with ongoing COA (Council on Aging) audit preparation.
  • Implement billing for services when needed.
  • Process Client Registration forms and update clients’ physical and electronic files utilizing Sales Force, ServTracker, and Wellsky.
  • Use Excel to maintain databases for billing funders for programs like Recreation/Programming, To Go Meals, and Private Pay Meals.
  • Track Client Registrations received in Excel to anticipate needed registrations before events or trips.
  • Utilize Serv Tracker for reports for information gathering.
  • Perform other duties as needed.
