About The Position

The Department of Children and Family Services (DCFS) is seeking an Administrative Assistant 4 to join their Legal team in Baton Rouge, Louisiana. This role serves as a personal and confidential Administrative Assistant to two Deputy General Counsel 2s within the Bureau of General Counsel, Executive Division. The position also provides administrative and general clerical support to two Attorney Supervisors, one Attorney 4, and two Attorney 3s in the Department of General Counsel. Requirements

  • Three years of experience in administrative services.
  • Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Responsibilities

  • Independently responsible for all routine minor administrative matters within the Bureau of General Counsel under the Executive Division.
  • Provides direct secretarial support for seven attorneys in the completion of legal documents that require specialized knowledge of format and legal terminology.
  • Completes in final form legal documents, which include but are not limited to petitions; judgments; motions; orders; affidavits; general correspondence, etc. necessary to move these orders and petitions through the court system, etc.
  • Organizes and maintains a calendar of meetings, trial dates, hearing schedules, court appearances, Administrative Hearings, Judicial Reviews, and appeals.
  • Maintains a tracking system of contracts that are received from various agencies for review and approval.
  • Logs in contracts in Microsoft Access.
  • Reviews, prioritizes, analyzes, and maintains a computerized log in Microsoft Access of incoming mail, contracts, administrative subpoenas, etc. and determines what, if anything, requires immediate attention then logs mail in and distributes to appropriate attorney.
