About The Position

A growing, community-based organization that provides shelter and outreach support for homeless youth in Peel Region. They are a leading organization recognized in the community for its commitment to providing youth in need with a safe environment and access to services to help them achieve independence and foster growth. The Youth Services Administrative Coordinator assists with overseeing and managing the daily administrative functions of the Youth Services Department, including program administration, meeting and calendar management, communications, task management, data management support, budget and expenditure support, and other backbone administrative functions for the Youth Services Department and leadership.

Requirements

  • Diploma in social services, financial administration, or in a related field or an equivalent combination of education and/or experience.
  • Administrative/office management experience, including data entry, financial management and statistical reporting.
  • Knowledge of housing first for youth, trauma informed care, and harm reduction practices an asset.
  • Cultural competency sensitivity and commitment to working through an EDIB, anti-oppressive, anti-racism framework.
  • Understanding of issues relating to youth homelessness and the barriers youth face in attaining and maintaining their housing, as well as an understanding of the broader housing sector in Peel.
  • Valid First Aid, CPI/UMAB Certifications.
  • WHMIS and Food Handling Certification is recommended.
  • A valid Ontario’s full G Driver’s Licence is required, with a clean driver’s abstract. A $2,000,000 minimum liability car insurance coverage is also mandatory.
  • Completion of a successful Vulnerable Sector Check/Criminal Record Check will be a condition of employment

  • WHMIS and Food Handling Certification is recommended.

Responsibilities

  • Provide daily comprehensive and flexible administrative support to the Youth Services Department.
  • Manage harm reduction supply inventory and data entry at all sites, including disposal of expired products as per regulation and ordering of additional supplies.
  • Manage shift schedules, time card data entry, and staffing needs for all Youth Services programs, including intake, diversion, case management, and other programs as required.
  • In collaboration with other departments, provide support for staff and youth training, event, and meeting coordination.
  • Monitor and track contract expiration and renewal dates for external service agreements.
  • Manage onboarding, training, and continuing education tracking for the team. Identify needed training for staff and arrange for training access.
  • Manage IT processes for Youth Services staff required on onboarding, including setting up of equipment and ensuring proper badging and access is obtained.
  • Establish and execute communication structure to ensure timely and relevant communications are provided to both internal and external stakeholders.
  • Provide support to leadership in preparing presentations and slide decks for all events and meetings.
  • Compile statistical information and prepare monthly reports as required for program evaluation and development.
  • Monitor and audit data entry as per program requirements in all relevant databases. Notify leadership timely with any identified concerns or gaps.
  • Monitor budgets and expenses for the Department, including cash transfers, transportation needs, etc.
  • Ensure that professional standards are maintained as related to client documentation and monthly statistical reporting.
