Workup Specialist - Bilingual Spanish

About The Position

This position coordinates all aspects of managing a donor in the workup process. This includes assessing the emotional well-being of the donor, conducting the information session and health screening, coordinating physical examination, stem cell collection, post donation follow-up, and completing required documentation. The role also involves adhering to specific protocols, contributing to continuous process improvement, and engaging in ongoing education. Additionally, the specialist performs duties in compliance with standard operating procedures, NMDP standards, and relevant regulations, while working collaboratively with team members to ensure an optimal donor experience and timely delivery of services. Bilingual duties include performing core functions in a secondary language, potentially revising messaging for distinct populations, and acting as a subject matter expert for translation-related projects.

Requirements

  • Ability to flex working hours based on donors’ needs, including non-traditional hours (evenings, weekends, occasional holidays).
  • Strong critical thinking and decision-making skills.
  • Intermediate computer skills including experience with Microsoft office software.
  • Strong attention to detail and excellent organizational skills.
  • Ability to accurately and efficiently complete sensitive data forms.
  • Well-developed interpersonal skills dealing with people of different cultures and styles.
  • Advanced communication skills (writing and oral) to connect with a wide range of people to discuss sensitive information.
  • Strong customer service skills and ability to apply concepts of active listening and empathy.
  • Ability to learn medical terminology and explain complex medical concepts to the general public.
  • Bachelor’s degree within a health care related field (or equivalent education and/or experience).
  • Three years of experience interacting with patients, clients, or customers in a healthcare, nonprofit, or business setting.
  • Availability for occasional overnight travel (up to two nights per year).
  • Fluent native speaker of alternate language or BA/AA degree in alternate language.
  • Demonstration of fluency beyond “conversational” in the secondary language.
  • Ability to convey complex medical information in the secondary language.
  • Advanced communication (oral and written) skills in the secondary language.
  • Understanding of secondary language grammar.
  • Knowledge of various secondary language cultures.

  • Medical terminology, case-note documentation, and medical histories.
  • Patient interaction or care experience in a healthcare setting.
  • Experience working in a regulated environment to include a demonstrated knowledge of Good Tissue Practices (GTP), Good Manufacturing Practices (GMP) and Good Documentation Practices (GDP).

Responsibilities

  • Assesses donor needs, concerns and impact donation may have on donor and family, developing a unique support and coordination relationship.
  • Schedules and conducts donor information sessions.
  • Manages scheduling and follows through with the donor’s physical exam and medical clearance process.
  • Completes all tasks required for donation including managing blood sample and autologous blood collections, verifying prescriptions, and facilitating timely collection of samples for infectious disease marker results.
  • Communicates case progress with the Case Manager and donor, completing required documentation within designated timelines.
  • Establishes, as needed, and works with third party physical examination sites.
  • Contacts donor at designated NMDP time points to assess recovery, arrange blood samples, and determine if physician intervention is required.
  • Removes donation barriers, resolves issues, contingency planning, and manages adverse events.
  • Maintains accurate and concurrent documentation and records, following NMDP and department policies.
  • Facilitates donor and recipient communication, information exchange and survivorship information, monitoring for confidentiality.
  • Performs workup and collection activities under an Investigational New Drug (IND) or research protocol.
  • Provides training to third party providers performing protocol activities.
  • Implements and adopts strategies and systems to achieve Continuous Process Improvement (CPI) and organizational and department goals.
  • Attends NMDP sponsored meetings and trainings, as requested.
  • Maintains operational and industry knowledge, keeping current with updated policies and procedures.
  • Performs all duties in compliance with standard operating procedures, NMDP standards, regulations, and applicable laws.
  • Works with designated team members to deliver the optimal donor experience and meet or exceed transplant center and patient expectations.
  • Participates in shared team responsibilities and staff back-up.
  • Participates on NMDP project teams as needed.
  • Performs all core job duties in a secondary language.
  • Revises core functions as messaging is targeted to a distinct population.
  • Acts as a bilingual SME (subject matter expert) for various projects.
  • Assists with back translation reviews, proofreading and edits for donor communications.
  • Assists with "in house" translation of Donor Services voice messages, emails, etc.
  • Provides back up assistance for donor calls requiring translation.
  • Supports Be The Match Mexico.
