Requirements

  • 5+ years’ experience managing and leading projects, with demonstrated ownership of project outcomes from planning through delivery
  • Ability to independently develop, drive, and complete project deliverables with limited oversight
  • Experience managing project scope, schedules, budgets, risks, issues, actions, decisions, and dependencies
  • Experience leading and coordinating project teams, stakeholders, vendors, consultants, and other external partners
  • Strong problem-solving skills with the ability to identify issues, evaluate options, make informed decisions, and drive resolution
  • Strong written, presentation, reporting, and stakeholder communication skills
  • Strong organization, attention to detail, time management, and follow-through
  • Ability to manage multiple projects, priorities, and deadlines simultaneously
  • Proficiency in Microsoft Office, including Excel, PowerPoint, and Teams.
  • Takes ownership and accountability for project outcomes, independently driving priorities and next steps
  • Leads project teams, stakeholders, and vendors with confidence, providing clear direction and accountability
  • Demonstrates initiative and sound judgment, resolving issues independently and escalating appropriately
  • Proactively anticipates and manages risks, dependencies, and changing project needs
  • Builds trusted relationships and collaborates effectively across client and cross-functional teams
  • Communicates confidently and professionally, including when navigating challenging conversations or competing priorities
  • Remains adaptable, organized, and composed in fast-paced or ambiguous environments
  • Applies constructive feedback and lessons learned independently across future projects, deliverables, and client interactions

  • Experience with stakeholder communications, engagement, workshops, or training
  • Experience using project management, data, or workplace technology platforms
  • Advanced Excel skills, including creating formulas, charts, and data analysis to support project reporting and decision-making
  • Experience creating compelling presentation materials, with advanced PowerPoint or similar skills and the ability to tailor content for different stakeholder audiences
  • Relevant Project Management, Change Management, or industry certification
  • Active Change or Project Management certifications or similar
  • Active membership within industry networking organizations.

Responsibilities

  • Owning workplace transition projects from strategy and setup through implementation and closeout, taking accountability for successful project outcomes
  • Independently driving project plans, priorities, deliverables, and next steps, demonstrating initiative and maintaining momentum without requiring day-to-day direction
  • Managing project scope, schedules, budgets, milestones, and dependencies
  • Leading project teams and coordinating resources to ensure responsibilities, deadlines, and expectations are clear
  • Stepping into active projects when required, quickly understanding project status, priorities, and actions needed to move delivery forward
  • Representing MovePlan confidently and professionally with clients and on client sites
  • Prioritizing on-site project activities, including in-person meetings, hosting office hours, and presentations where the space and project team allow for it
  • Building trusted relationships with clients, stakeholders, project partners, and internal teams
  • Preparing for and leading client, stakeholder, vendor, and internal project meetings
  • Providing clear direction to vendors, consultants, and project partners and holding them accountable for agreed deliverables
  • Creating and delivering stakeholder and employee communications that keep impacted populations informed, prepared, and engaged
  • Delivering presentations confidently in virtual and in-person settings
  • Proactively identifying and managing project risks, issues, actions, decisions, and dependencies
  • Resolving project issues independently where appropriate, identifying solutions and driving actions through to completion
  • Anticipating potential impacts to project delivery and taking appropriate action before they become critical
  • Escalating issues with clear context, options, and recommended next steps when leadership or client decisions are required
  • Taking ownership of the accuracy, completeness, and quality of project data, documentation, analysis, reporting, and client deliverables
  • Maintaining effective project controls and ensuring project information remains current and reliable
  • Performing on-site space audits, inventories, and other project assessments as required
  • Reviewing work critically before issue and ensuring outputs meet MovePlan and client expectations
  • Applying constructive feedback and lessons learned independently across future deliverables, projects, and client interactions
  • Supporting business development through strong client relationships, networking, events, and proposal activity
  • Identifying opportunities to provide additional value to existing clients and support the development of new accounts
  • Sharing knowledge, lessons learned, and best practices with the wider MovePlan team
  • Completing required internal project and administrative responsibilities
  • Supporting on-site project activities, including occasional travel, weeknight, and weekend work when project delivery requires it.
