About The Position

This role is responsible for planning, supporting, and overseeing a diverse portfolio of projects, including large-scale capital projects, tenant improvements (TI), and technical infrastructure projects. The goal is to ensure timely delivery and budget compliance throughout the full project lifecycle. The position also involves providing comprehensive PMO administration, reporting, and strategic coordination, as well as developing high-quality documentation and executive-level reports to support informed decision-making across the organization. The role requires daily onsite presence at the San Jose, CA location.

Requirements

  • Bachelor’s degree from an accredited college or university in construction, engineering or a relevant field of study.
  • At least 6 years of relevant experience
  • Proven working experience in project management
  • Strong familiarity with project management software tools, methodologies, and best practices
  • Experience managing projects through the full life cycle
  • Excellent client-facing and internal communication skills
  • Proven ability to complete projects according to outlined scope, budget, and timeline
  • Excellent communication (verbal and written) and interpersonal skills
  • Proficient with computer software programs including Microsoft Excel, PowerPoint, Word, Outlook, CAD, Bluebeam and MS project.
  • Work well under pressure and within time constraints in a fast-paced environment
  • Ability to multi-task with attention to details
  • Ability to build relationships with both internal and external customers
  • Excellent analytical and organizational skills
  • Capable of working with ambiguity and change

Responsibilities

  • Plan, support, and oversee a diverse portfolio of projects — including large-scale capital projects, tenant improvement (TI), and technical infrastructure projects — ensuring timely delivery and budget compliance throughout the full project lifecycle from initiation through closeout.
  • Provide comprehensive PMO administration, reporting, and strategic coordination while developing high-quality documentation and executive-level reports to support informed decision-making across the organization.
  • Define project objectives, scope, and success criteria in alignment with organizational goals.
  • Assess and predict resources needed to achieve objectives; manage resource allocation effectively throughout the project lifecycle.
  • Prepare budgets based on project requirements; track and control costs to ensure delivery within approved budget.
  • Develop project charters, business cases, and detailed project plans including milestones, timelines, and risk registers.
  • Track project progress and provide regular status reports to PMO and key stakeholders; manage and respond to changes in scope, schedule, and budget with appropriate corrective actions.
  • Manage contracts and relationships with vendors and suppliers, ensuring compliance with agreed terms and quality standards.
  • Apply industry best practices, methodologies, and standards throughout project execution.
  • Prepare comprehensive closeout packages upon project completion, including lessons learned, best practices, and post-project evaluations.
  • Support planning and execution across a range of project types, including large-scale capital projects, tenant improvement (TI), technical infrastructure upgrades, and other operational projects as assigned.
  • Assist in the development of project briefs, scope definitions, and requirements documentation in coordination with internal stakeholders and external consultants.
  • Coordinate with design teams, engineers, contractors, and vendors to ensure projects align with organizational standards, timelines, and budget parameters.
  • Conduct due diligence activities including site assessments, technical reviews, regulatory considerations, and risk analysis — adapted to the nature of each project type.
  • Monitor and report on project milestones, construction or installation progress, and budget performance across the project portfolio.
  • Support change management processes related to project delivery, including stakeholder communications, scope adjustments, and transition planning.
  • Adapt project support approach flexibly based on project type, scale, and organizational priorities at any given time.
  • Develop, implement, and continuously improve PMO strategies, frameworks, and governance processes.
  • Maintain and enhance standardized templates, tools, and documentation for consistent project management practice across the portfolio.
  • Prepare executive-level presentation materials, dashboards, and decision-support documents for leadership meetings and steering committees.
  • Produce and manage a variety of regular and ad hoc reports including project status reports, portfolio summaries, budget variance reports, and KPI tracking.
  • Drive process improvement initiatives to promote efficiency, consistency, and effectiveness across project management practices.
  • Regularly monitor portfolio-wide project status; identify deviations from plan and recommend corrective actions to ensure on-time, on-budget delivery.
  • Facilitate clear and effective communication among project team members, project managers, and stakeholders to ensure alignment on project progress, decisions, and risks.
  • Serve as a central point of coordination between internal teams and external partners on project-related matters.
  • Maintain strong working relationships with project vendors, contractors, and consultants to support quality outcomes and timely delivery.
  • Coordinate cross-functional meetings, prepare agendas, document meeting minutes, and follow up on action items to maintain project momentum.
