About The Position

We are seeking a proactive and service-oriented Workplace Coordinator to support the daily operations of our office while serving as the first point of contact for employees, visitors, and vendors. This role combines front desk responsibilities with workplace coordination to help create a welcoming, organized, and efficient office environment. The ideal candidate is highly organized, detail-oriented, and enjoys providing exceptional customer service while ensuring the workplace runs smoothly. This role will be onsite 5 days a week at our Santa Clara, CA headquarters.

Requirements

  • 2+ years of experience in a front desk, receptionist, hospitality, customer service, or office support role.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Highly organized with strong attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficient with Microsoft Office (Outlook, Word, Excel) and basic office technology.
  • Professional appearance and positive attitude.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Responsibilities

  • Welcome visitors, candidates, employees, and vendors in a professional and friendly manner.
  • Manage the visitor check-in process and direct guests to the appropriate meeting rooms or offices.
  • Notify employees when visitors, deliveries, or service providers arrive.
  • Answer and direct general inquiries in a courteous and timely manner.
  • Receive, log, and distribute incoming mail, packages, courier deliveries, and shipments.
  • Monitor the reception area, lobby, front entrance, meeting rooms, and common spaces to ensure they remain clean, organized, and presentable.
  • Perform routine workplace walkthroughs to identify maintenance, cleanliness, or safety concerns.
  • Report facility issues such as spills, damaged fixtures, restroom concerns, lighting issues, or other maintenance requests and follow up as needed.
  • Coordinate with facilities, building management, vendors, and internal teams to help resolve workplace issues.
  • Assist with meeting room readiness, office events, and employee or visitor hospitality.
  • Provide light operational and administrative support during office events, meetings, onboarding activities, and periods of high office traffic.
  • Help maintain office supplies and ensure shared spaces are stocked and organized.
  • Support Workplace Operations with additional projects and day-to-day office coordination as needed.
