About The Position

As the Workplace Concierge, you will serve as the welcoming face and first point of contact for clients, vendors, and staff. This role is essential in upholding Gensler’s values of professionalism, hospitality, and exceptional client service. You will play a key role in creating a positive and seamless experience for everyone who enters the Austin office.

Requirements

  • 3–5 years of hands-on experience delivering front desk services in hotel and high-end hospitality settings
  • Strong attention to detail and ability to multitask effectively
  • Proficiency in Microsoft Office Suite and other workplace technologies
  • Positive, proactive attitude with strong initiative and follow-through
  • Excellent communication and interpersonal skills
  • Professional demeanor and appearance
  • Reliable and punctual, with flexibility to work overtime as needed
  • Strong team player who can also work independently

Responsibilities

  • Answer and direct incoming calls via Microsoft Teams; take messages as needed
  • Greet and assist all guests, notifying appropriate staff of their arrival
  • Welcome job applicants and coordinate interview logistics
  • Welcome New Hires and facilitate an office tour, including first day communication to the office about the New Hire
  • Receive and manage vendor samples and deliveries
  • Process parking validations for clients and visitors
  • Collect and distribute mail daily
  • Coordinate setup and cleanup for on-site internal and external meetings in collaboration with the administrative team, including Lunch and Learn Events
  • Support vendor presentations and events in the lobby area
  • Lead Bi-Monthly All-Staff Meeting set-up, including catering and furniture arrangement
  • Provide support and lead coordination of external events, including Bonus Day and the Holiday Party, in collaboration with Austin Office Culture Committee and administrative team members
  • Manage and track the allocated budget for these events, with oversight from leadership and the Executive Assistant
  • Maintain a tidy and welcoming lobby and conference room environment
  • Oversee kitchen and coffee supply inventory; restock refreshments and snacks regularly
  • Conduct weekly refrigerator cleanouts
  • Place weekly grocery orders
  • Manage the AU–Office Calendar and update monthly office event calendar
  • Compile and distribute weekly “Week Ahead” Newsletters
  • Compile and distribute the weekly “Out of Office” list
  • Assist with various administrative tasks, special projects, and office events as needed
  • Provide support to staff, clients, consultants, and vendors with general inquiries
