As the Workplace Associate (Temporary Role for the Summer - May-August), you’ll play a key role in creating an exceptional, welcoming, and well-run workplace environment that enables REGENT employees to do their best work every day. Reporting into Workplace Operations, this role blends hands-on coordination, people-facing support, and significant recurring manual task work across 3 office locations, including stocking, organizing, lifting, setting up spaces, breaking down boxes, and maintaining shared workplace areas. You’ll be the connective tissue between people, space, and systems—ensuring dining services run smoothly, employees feel supported, and day-to-day cafe needs are handled with care, consistency, and attention to detail. From coordinating cafe operations, logistics, and communicating with vendors to completing daily hands-on tasks like restocking supplies, organizing storage areas, setting up spaces, breaking down boxes, and supporting events, this role is critical to how REGENT shows up for its team as we grow. Requirements

  • High Level of Organization & Attention to Detail: Able to manage multiple tasks, priorities, and requests simultaneously while maintaining accuracy and follow-through with the ability to track inventory of food, beverage, office, and facility supplies on a daily basis.
  • People-Centered Mindset: Friendly, approachable, and service-oriented, with a genuine interest in supporting employees and creating a positive workplace experience.
  • Comfort with Physical, Hands-On Work: Willing and able to spend much of the day on your feet completing manual tasks, including lifting, carrying, stocking, organizing, cleaning up shared spaces, moving items, and responding to time-sensitive workplace needs.

Nice To Haves

  • Experience Supporting Office Dining or Hospitality Services: Prior experience coordinating office meals, catering, food vendors, or hospitality services in a corporate, startup, or high-growth environment is a plus.

Responsibilities

  • Own Day-to-Day Workplace Operations: Support daily office operations, ensuring the workplace is clean, functional, stocked, and welcoming. Serve as a primary point of contact for employee workplace needs, questions, and requests.
  • Office Dining Services: Support office dining programs, including daily meals, catering, snacks, and beverage services. Maintain relationships with food vendors and caterers, ensure timely setup and cleanup, and maintain clean, organized kitchen and dining areas that support a positive in-office experience.
  • Coordinate Cafe Logistics: Manage food and beverage inventory, equipment, and shared spaces.
  • Safety & Readiness: Assist with office and food safety practices, and general compliance with workplace policies and procedures.
  • Maintain office cleanliness: Support daily upkeep of office spaces, including common areas, cafe, and meeting rooms.
  • Assist with Furniture, Equipment, and Room Setups: Regularly help move, assemble, and reset office furniture and equipment, including meeting room setups and breakdowns. This work may involve frequent lifting, carrying, bending, standing, and other physical activity.
  • Maintain Facilities and Storage Areas: Break down and remove cardboard, organize deliveries and supplies, conduct regular inventory checks, and keep facilities and storage areas clean, accessible, and well-maintained.
  • Conduct routine maintenance tasks, including but not limited to hanging shelves + painting, and coordinating repairs as needed
  • Process: Help maintain workplace processes. Identify opportunities to improve efficiency, consistency, and the overall employee experience.
