About The Position

This is a highly responsible and professional position serving as the Word Processing Systems Operator – F/C within Unit 21. The ideal candidate will be a collaborative team player who works seamlessly across all sections within the program office. This role requires the use of independent judgment, a proactive approach to responsibilities, and exceptional attention to detail. Duties of this position require the incumbent to be knowledgeable of and utilize the principles of Total Quality Management. The employee in this position spends a minimum of 75% of his/her time performing duties as outlined on the official position description, which involves contact with residents in a Forensic facility or institution. This position involves highly responsible and complex clerical duties under the supervision of the Medical Unit Supervisor. This position works closely with, and cross trains, with three other clerical staff to assure that the unit continues to run smoothly on a daily basis.

Requirements

  • Knowledge of correct spelling, punctuation and grammar usage.

  • Ability to type letters, memoranda and other standard business forms in correct format.
  • Ability to proofread typed material for typewritten and grammatical errors and to make necessary corrections.

  • One year of work experience in the operation of word processing equipment; or two years of secretarial or clerical work experience; or
  • Completion of 720 classroom hours of vocational/technical training in word processing at an accredited institution, or
  • Possession of a Certified Professional Secretary Certificate.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required two years of secretarial or clerical work experience.
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required two years of secretarial or clerical work experience.
  • A high school diploma or its equivalent can substitute for one year of the required two years of secretarial or clerical work experience.

Responsibilities

  • Input data on the Assessment, Reassessment and Service Implementation Plans, and Minimum staffing excel spreadsheets and route to appropriate personnel and processing.
  • Types correspondences, memos, forms, policies, and procedures and other communications as assigned by supervisor.
  • Uses computer to prepare all unit reports and update unit performance boards using the various programs such as Jetforms, Visio, Microsoft graphs, Access and Excel.
  • Use Microsoft Access to retrieve resident information.
  • Records and types minutes and uses computer cc-mail to correspond.
  • Uses computer system 36 Novel to input inservice training for entire unit.
  • Uses computer system Novel 36 to update seclusion and restraint pertinent information for unit use.
  • Updates and/or corrects all unit and ward forms on a weekly basis.
  • Maintains accurate and up-to-date resident related records and calendars.
  • Assists with the completion of forms for residents who are discharged.
  • Assists with direct flow of correspondence to and from both residents and staff.
  • Coordinates flow of appropriate materials to residents' medical records.
  • Maintains card file for all residents.
  • Maintains unit filing system.
  • Maintains unit policies and procedures manuals.
  • Responsible for ordering unit supplies such as washing powders, toothpaste, cleaning supplies, clothes for residents, office supplies, computer supplies, and all medical supplies from hospital supply as needed.
  • Verifies all receiving reports for items received in unit.
  • Responsible for ordering twenty-five or more non-medical forms for the unit.
  • Responsible for coordinating travel arrangements for both residents and staff.
  • Types necessary forms and routes for appropriate signatures.
  • Types reimbursement forms for employees and maintains related files.
  • Answers telephone, routes calls and performs receptionist duties.
  • Relieves Clerk Typist Specialist with timekeeping duties and residents' accounts.
  • Assist with Position Descriptions, Performance Standards, and Review and Performance Planning for unit employees.
  • Assist with Employee Notice of Injury and Form 986.
  • Assists with typing daily and infection control reports.
  • Relieves Medical Unit Supervisor as needed.
  • Assists with procurement and maintenance of equipment and supplies for the unit.
  • This includes purchase requisitions for items not available through hospital supply department.
  • Assists with purchase requisitions to various vendors.
  • Assist with maintaining related records.
  • Performs other related duties as required.
