About The Position

Under the direction of the Women, Infants, and Children (WIC) Administrative Services Coordinator, this position provides direction and supervision to administrative support staff. It collaborates with all programs and the WIC leadership team to ensure the effectiveness and efficiency of services in a culturally competent and customer-friendly environment. The role involves supervising and instructing WIC team members, ensuring client information is entered into the SC-WIC system per program guidelines, and conducting and maintaining audits, training records, and Employee Performance Management System (EPMS) for individual staff. This includes conducting observations, providing feedback, and conducting appraisals. The position requires providing culturally competent customer service, answering telephones, scheduling appointments, processing information, completing certifications, and entering client information into the SC-WIC system. It also ensures staff compliance with program and agency guidelines for e-WIC card issuance and Farmer's Market benefits. The role involves adhering to customer service and cultural competency guidelines, ensuring staff follow WIC Program customer complaint procedures. The position requires attending relevant training and meetings, ensuring necessary materials and resources are available for administrative staff, and preparing and submitting required reports. Other duties as assigned are also part of this role.

Requirements

  • A high school diploma and work experience that is directly related to the area of employment.
  • A bachelor's degree may be substituted for the related work experience.
  • A bachelor's degree in a related field and (2) two years responsible administrative support supervisory experience; or associate degree in related field and three (3) years experience, or HS/GED and (4) four years of responsible administrative experience.
  • Agency experience and proven ability may be substituted for supervisory experience.
  • Any equivalent combination of education and/or experience that demonstrates the required knowledge, skills, and abilities may be considered in meeting the minimum qualifications, subject to approval by the SCDPH Chief Human Resources Officer, or their delegate.

Responsibilities

  • Provides direction and supervision to administrative support staff.

  • Provides and documents feedback and appraisals.
  • Provides culturally competent customer service while greeting and speaking to public health clients in accordance with the WIC program and agency policies and procedures.
  • Answers telephones and schedules appointments as necessary.
  • Processes information, completes certifications and enters all client information into SC-WIC system as mandated.
  • Ensures that staff complies with program and agency guidelines for issuance of e-WIC cards in SC-WIC system and Farmer's Market benefits, if applicable.
  • Follow established guidelines around customer service and cultural competency, ensuring staff adheres to WIC Program customer complaint procedures as outlined or directed by the area and state plan.
  • Attends relevant program and agency training and meetings.
  • Ensure necessary materials and resources are available for Administrative staff.
  • Prepares and submits required reports.
  • Completes other duties as assigned related to the position.
