About The Position

At Root Whole Body, we’re building something bigger than a wellness clinic. We’re creating a community dedicated to whole body health—physically, mentally, emotionally. As a Wellness Concierge, you create a welcoming first impression on any client that walks through our doors. You’re not just scheduling appointments; you’re guiding people on a wellness journey, securing membership sign-ups for Whole-Body Health Accounts, playing a crucial role in every step for client wellness. You’re proactive and personable, with a natural ability to maximize appointment bookings, upselling pre-existing appointments and filling open appointment times through outreach. You thrive in a fast-paced environment, balancing hitting sales targets, and taking pride in creating seamless, authentic experiences for clients and team members alike. Requirements

  • At least 2 years’ experience in a clinic, spa, retail, or customer-facing wellness environment.
  • At least 1 year of sales experience with a proven track record of exceeding sales targets.
  • Flexible availability, including some evenings.
  • Must be available to work at least 1 weekend day.
  • Natural connector who thrives in a fast-paced and goal-centered workplace.
  • Deep belief in natural, integrative healthcare—ideally with your own story or passion for wellness

Nice To Haves

  • Experience using an appointment booking system, specifically Mindbody, preferred.
  • Experience using CRM systems preferred.

Responsibilities

  • Welcome all those who walk into our doors with an inclusive and compassionate language and attitude, sharing the Root story in our tour, and inviting visitors to take care of themselves and become a part of our community.
  • Ensures all clients are met with a consistent level of top-tier customer service, addressing client issues and concerns in a timely manner with a compassionate lens
  • Oversees the reception area including directing client interactions, phone calls, email bookings and sales to maximize and achieve revenue targets.
  • Maintains client profiles in ensuring all required information and documentation are on file, such as valid card information, waivers, and insurance information.
  • Promotes and secures new Whole Body Health Account signups, actively working to exceed personal and team membership performance goals.
  • Stays up to date on appointment and sales KPI’s to identify areas of growth in booking, sales, and membership sales.
  • Utilizes the 1-2-3 checkout process to build longstanding relationships with new clients and continue to nurture relationships with current clients in same-day rebooking.
  • Audits the appointment schedule in Mindbody week by week to maximize appointment capacity.
  • Recognize opportunities in the schedule to move current booked appointments and create further practitioner availability.
  • Performs outreach calls to targeted lists of clients, utilizing effective sales skills to book appointments and sell memberships over the phone or through Mindbody MessengerAI.
  • Must be able to work individually as well as collaboratively with a team; Models and encourages respectful and professional channels of communication: approach others in a tactful manner.
  • Reacts well under pressure and treats others with respect and consideration.
  • Must have the ability to accept responsibility for own actions and follow through on commitments between coworkers and departments.
