About The Position

The Wellness Administrator provides essential administrative and logistical support to the Wellness Department at Mountainside. This role ensures the smooth day-to-day operational functioning of wellness programming across all levels of care by managing scheduling systems, coordinating coverage, maintaining inventory, and supporting communication workflows. The Wellness Administrator works closely with Wellness Leadership and serves as an organizational anchor for the department. Requirements

  • High School Diploma or GED Required
  • Background and/or deep understanding of integrative wellness in recovery settings strongly preferred.
  • Experience in scheduling and administration preferred.
  • Experience with substance use disorder treatment and/or wilderness-based programming preferred.

Responsibilities

  • Coordinate shifts and coverage for wellness programming across all levels of care
  • Load and maintain the master schedule in Aura, including facilitator assignments
  • Schedule individual client referrals, ensuring one consistent point of ownership for all scheduling
  • Coordinate massage scheduling and ensure associated progress notes are completed
  • Maintain and update the schedule matrix rotation seasonally for all wellness programming
  • Support roll-out of the master schedule and communicate updates to relevant staff
  • Send and adjust Quality, Quantity, and Timeliness (QQT) communications as directed
  • Monitor client alerts in the EMR and send communications to the team
  • Maintain working inventory of wellness materials and coordinate restocking as needed
  • Assists the Wellness department with recruitment efforts, including potential candidate application review and phone screens
  • Assist with purchase orders (POs)
  • Assist with Change in Action (CIA) and Ceremonial Sweat Lodge roster communication
