About The Position

The AL/MC Receptionist is responsible for managing and directing all communications and requests from residents and the general public in the AL/MC. This role involves greeting visitors, monitoring resident check-ins, managing communications, and ensuring the security and welfare of residents and the facility.

Requirements

  • High school graduate or equivalent.
  • Minimum one year as a receptionist or administrative assistant in a busy environment.
  • Excellent organizational skills.
  • Detail-oriented person and able to perform duties with great accuracy on a daily basis.
  • Excellent personal skills, demonstrating the ability to conduct oneself in a non-controversial style; a style that inspires the respect of others and promotes a sense of trust in the individual’s competence.
  • Good communication skills; speaking, writing, and listening.
  • Fluent in English.
  • Excellent computer skills.
  • Proficient with Microsoft Office programs with emphasis on Excel, Outlook, and Word, with the ability to learn and use proprietary software as required.

Responsibilities

  • Greet everyone in a friendly, upbeat, and positive manner; smile, make eye contact.
  • Monitor resident daily ‘check-in’ and ‘no-dial’ reports to Home Care as appropriate.
  • Email the Transition Support Team of any security or resident welfare concerns.
  • Address all incoming telephone calls.
  • Monitor the fire alarm system.
  • Ensure that all persons entering Plymouth Harbor through the AL/MC lobby are identified.
  • Monitor the sign-in logs for visitors, outside vendors/contractors, and persons seeking employment.
  • Facilitate special delivery packages, i.e., Federal Express, UPS, drug stores, pharmacy, flowers, cleaners, and general deliveries.
  • Respond to all inquiries from residents and the general public, via telephone and in person.
  • Manage AL/MC computer operations, e-mails, in-house notices, etc.
  • Maintain and update records and reports as required by Administration.
  • Sign in guests staying in resident apartments; maintain an annual log.
  • Coordinate work order requests and forward to the appropriate department.
  • Communicate necessary information and updates to the AL/MC Receptionist reporting to work for the next scheduled shift.
  • Manage the in-house mail boxes; distribute resident and departmental mail.
  • Maintain a log of signed-for registered mail and packages, including pharmacy deliveries.
  • Monitor CCTV cameras for any unusual activity and direct Security to investigate, as needed.
  • Monitor lobby, elevator and front parking activity.
  • Notify the Administrator of safety concerns.
  • Attend and participate in workshops, seminars, and mandatory in-services as approved or required.
  • Maintain work area, equipment and supplies in a clean, sanitary and organized manner.
  • Ensure that work areas are neat and confidential materials are properly stored before leaving area on breaks, end of work day, etc.
  • Work safely; complying at all times with Plymouth Harbor safety standards.
  • Discharge properly such other responsibilities and duties as the Health Services Operations Coordinator, Administrator of Assisted Living or Sr. VP of Health Services may direct.
