In this role, you will provide essential support to the owner, assist valued clients, and help foster a positive and engaging workplace culture. To ensure timely and reliable onsite collaboration, candidates must live within a 45-minute commute of our Springhill, FL office.

Requirements

  • 1+ years’ experience in an administrative role
  • Demonstrates strong proficiency and confidence working across various platforms and operating systems including Microsoft Office Suite , Salesforce and Zoom
  • Excellent communication; written and verbal
  • Collaborative team player willing to assist others
  • Ability to proactively troubleshoot and address challenges
  • Demonstrates exceptional organizational skills by efficiently managing multiple client requests and prioritizing time sensitive tasks
  • Exhibits meticulous attention to detail and a commitment to accuracy
  • Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
  • Self-starter who takes initiative and works well independently
  • Demonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters

Responsibilities

  • Organize and manage the advisor’s calendar, appointments, and scheduling
  • Coordinate conference room reservations and manage all related logistics for onsite appointments
  • Follow up on outstanding requirements with carriers, clients, and internal teams
  • Input, update, and maintain client and application data in systems such as Excel, Salesforce, and Word
  • Plan, coordinate, and execute seminars and client appreciation events
  • Enter prospect information into Salesforce following the event
  • Upload, organize, and maintain electronic files and client records
  • Assist with document preparation, correspondence, and compliance-related tasks
  • Support the firm with day-to-day administrative duties
