Requirements

  • 5+ years of administrative experience, preferably in a professional services environment.
  • Microsoft Office experience required.
  • Proven administrative, organizational, and time management skills with great attention to detail and accuracy.
  • Superior verbal and written communication skills and a focus on client service, exercising independent judgment.
  • Ability to communicate effectively with partners, staff, and visitors.
  • Ability to multi-task and work in a fast-paced atmosphere.
  • Superior data entry and alpha/numeric skills.
  • Versatile within a team environment - maintaining confidentiality, credibility, and trust.
  • Must be legally authorized to work in the United States without sponsorship (with exceptions for bilingual Japanese/English or Chinese/English candidates).

Responsibilities

  • Overseeing and maintaining systems, including data integrity dashboard maintenance and reporting, firm workflow systems and databases, and client billing.
  • Pipeline management, including accurate input, compilation, and reporting of team’s opportunities.
  • Direct client onboarding and ongoing assistance, including preparing onboarding materials, ensuring forms are delivered and receipted, and communicating with clients and staff on processes.
  • Simultaneous ring for partners and relationship managers to ensure timely communication with clients.
  • Scheduling client meetings.
  • Assisting Partner with various duties, including opening and organizing mail, organizing the office, scheduling prospect calls, travel arrangements, scheduling and maintaining calendars, time and expense reports, organizing/processing billing, and CPE reporting.
  • Assisting with the production and editing of client or Firm deliverables, such as proposals/RFPs, presentations, reports, spreadsheets, and reports.
  • Preparing materials for electronic delivery, scanning, or other delivery methods.
  • Preparation of proposal packets/meeting materials.
  • Proofreading of correspondence prepared by other staff.
  • Document maintenance and retention (save, scan, upload to applicable sites).
  • Liaison for outside organizations/persons, when necessary.
  • Arranging for conference rooms, including equipment, conference calls, and catering.
  • Miscellaneous team reservations (travel, lunch, dinner, etc.).
  • Communication activities, including tracking and updating staff on deadlines and target dates.
  • Managing conflicting priorities and overall backlog of admin requests.
  • Organizing team meetings, including agendas, project lists, minutes, and reports.
