About The Position

The Warranty Administrator is a vital role within our organization, responsible for managing and overseeing warranty claims and processes for products or services. This position plays a crucial role in ensuring customer satisfaction and maintaining compliance with warranty agreements.

Requirements

  • High school diploma or equivalent (associate's or bachelor's degree preferred).
  • Previous experience in warranty administration, claims processing, or customer service.
  • Knowledge of warranty terms, policies, and procedures.
  • Attention to detail and strong organizational skills.
  • Effective communication and interpersonal skills.
  • Problem-solving abilities and the ability to handle customer inquiries and issues professionally.
  • Basic computer skills, including proficiency with spreadsheet and database software.
  • Time management skills and the ability to meet deadlines.
  • Ethical and values-driven approach to warranty administration.
  • Knowledge of the products or services covered by warranty (industry-specific knowledge is a plus).

Responsibilities

  • Receive, review, and process warranty claims submitted by customers or dealers.
  • Maintain accurate records of warranty claims, including documentation of customer information, product details, and claim status.
  • Verify the eligibility of warranty claims by reviewing warranty agreements, service records, and product specifications.
  • Communicate with customers, dealers, and service technicians to gather necessary information and provide updates on claim status.
  • Determine whether warranty claims are approved or denied based on warranty terms and conditions.
  • Coordinate the procurement of necessary replacement parts and labor to address approved warranty claims.
  • Prepare and submit warranty claims for reimbursement to the manufacturer or warranty provider.
  • Provide support and assistance to customers who have questions or issues related to warranty claims.
  • Ensure that warranty repairs meet quality standards and are completed in a timely manner.
  • Generate and maintain reports on warranty claim trends, approval rates, and customer feedback.
  • Identify opportunities to streamline and improve the warranty claims process.
  • Ensure compliance with warranty agreements, terms, and regulations.
  • Provide training and guidance to dealers, service technicians, and staff on warranty procedures and policies.
