About The Position

As a premier new car dealership, our fast-paced service department relies on a dedicated, detail-oriented team to keep operations running smoothly. We are currently seeking an experienced and efficient Warranty Administrator to oversee and manage our manufacturer warranty process. The Warranty Administrator plays a critical role in our service department’s financial success. You will be responsible for reviewing, processing, submitting, and tracking all warranty claims in compliance with manufacturer and dealership standards. The ideal candidate possesses sharp attention to detail, deep knowledge of automotive service procedures, and excellent organizational skills.

Requirements

  • Minimum 1–2+ years of experience as an Automotive Warranty Administrator at a franchised new car dealership preferred.
  • Proficiency with dealership management systems (e.g., CDK, Reynolds & Reynolds, Dealertrack) and manufacturer portals.
  • Strong understanding of automotive terminology, labor time guides, and warranty coding.
  • Outstanding organizational skills with a proven track record of maintaining low claim rejection rates.
  • Clear written and verbal communication skills for collaborating with service personnel and manufacturer representatives.
  • High School Diploma or equivalent required.

Responsibilities

  • Review and code all warranty repair orders (ROs) for accuracy, ensuring proper labor codes, parts information, and technician write-ups match manufacturer guidelines.
  • Electronically submit warranty claims to the manufacturer in a timely manner and track them through to final payment.
  • Reconcile warranty accounts receivable schedules weekly/monthly and promptly research and resolve any unpaid or rejected claims.
  • Maintain strict adherence to factory policies and procedures to ensure dealership compliance and prepare records for routine manufacturer audits.
  • Work closely with Service Advisors, Technicians, and Service Managers to clarify job stories, correct documentation errors, and streamline warranty workflows.
  • Coordinate with the Parts Department to track, hold, and return replaced warranty parts as mandated by the factory.
  • Stay current on manufacturer bulletins, recall campaigns, warranty policy changes, and technical service bulletins (TSBs).
