About The Position

Supports the controlling and coordinating all record/box requests received at the Aurora Record Center. Performs retrieval, sorting, scanning, and delivery of all types of requested records, as well as destruction of records/boxes, and clerical support. Additional responsibilities may include statistics and other functions related to the daily operations of the Record Center.

Requirements

  • High School diploma or Equivalent required.
  • Demonstrated proficiency in computer skills including Microsoft Office, internet and email required.
  • English communication (reading/writing) and mathematical skills required.

Nice To Haves

  • Experience working in a record center environment (warehouse) and/or medical office/hospital
  • Knowledge of medical record numbering systems preferred.
  • Experience with Epic preferred.
  • Customer service experience, preferably in a healthcare setting, is preferred.

Responsibilities

  • Maintains the highest level of customer service; answering telephone, email or fax inquiries relating to record requests, ensuring all record requests are retrieved and prepared for scanning or delivery in a timely manner to include bar code scanning of records into and out of the Record Center.
  • Requests can be for Outpatient, Inpatient, Clinic, Radiology or business box/record retrieval, as well as microfilmed/microfiche records.
  • Sorts and stages records for refiling, ensuring all filing is up to date.
  • Responsible for retrieving STAT records, films and/or visits from the file system and properly track these records.
  • Follow-up using established procedures to verify all records/visits not found in file.
  • Complete daily work productivity forms for statistics.
  • Ongoing audits of a percentage of the file system will be conducted daily to ensure terminal digit integrity.
  • Participates in record center projects in cooperation with the Record Center Supervisor (i.e. record sorts, re-labeling of records, destruction of boxes, medical records and Radiology Film, shifting of files etc.)
  • Receive boxes of records; lifts boxes of records (35 – 50 lbs) to shelving or removes records from boxes to place on shelving.
  • Performs other duties as assigned.
