About The Position

We are a growing $15 million HVAC contracting company headquartered in Spokane, Washington, serving residential and commercial customers across the Inland Northwest. Our team of skilled technicians, installers, and support staff is committed to delivering exceptional comfort solutions. As we continue to scale, we are seeking an experienced Warehouse & Operations Manager to lead our supply chain, fleet, and warehouse operations with precision and accountability. The Warehouse & Operations Manager is a critical leadership role responsible for the end-to-end management of our warehouse facility, parts inventory, and service fleet. This individual will ensure parts and equipment are accurately stocked, efficiently distributed to field crews, and that our fleet of service vehicles operates at peak performance. The ideal candidate brings deep experience in the trades or HVAC industry and thrives in a fast-paced, operationally driven environment.

Requirements

  • 5+ years of warehouse or operations management experience
  • Proven inventory control track record (98%+ accuracy)
  • Fleet management experience (DOT knowledge required)
  • Proficiency with WMS, ERP, or inventory software
  • Strong Microsoft Excel or Google Sheets skills
  • OSHA 30 certification or willingness to obtain within 90 days
  • Valid Washington State driver's license with clean MVR
  • Demonstrated team leadership and staff development experience

Nice To Haves

  • Experience in HVAC, plumbing, electrical, or mechanical contracting
  • Familiarity with refrigerant handling / EPA Section 608 regulations
  • Experience with Service Titan, Dispatch Track, or similar platforms
  • Bilingual English/Spanish
  • Associate or bachelor’s degree in supply chain, Business, or related field
  • Six Sigma, Lean, or other process improvement certification
  • Experience managing a fleet of 15+ vehicles

Responsibilities

  • Direct all daily warehouse operations including receiving, put-away, picking, staging, and shipping of HVAC parts and equipment
  • Maintain a clean, organized, and OSHA-compliant facility at all times
  • Develop, document, and enforce standard operating procedures (SOPs) for all warehouse functions
  • Manage hazardous materials handling and EPA refrigerant compliance protocols
  • Coordinate parts staging and delivery scheduling to align with service dispatch and installation crews
  • Lead continuous improvement initiatives to reduce waste, increase throughput, and improve accuracy
  • Oversee warehouse management system (WMS); maintain min/max stocking levels for all SKUs
  • Achieve and sustain inventory accuracy of 98% or greater
  • Conduct regular cycle counts and manage the annual physical inventory process
  • Manage supplier relationships, purchase orders, and vendor performance scorecards
  • Maintain shrinkage below 1% of total inventory value annually
  • Identify slow-moving or obsolete inventory and execute disposition strategies
  • Ensure all parts are properly labeled, binned, and tracked in the WMS
  • Manage a fleet of 8–20 service, installation, and delivery vehicles across the Spokane region
  • Develop and execute preventive maintenance schedules; minimize vehicle downtime
  • Implement and manage GPS/telematics systems for route optimization and driver accountability
  • Ensure full DOT compliance including driver logs, MVR monitoring, and vehicle inspections
  • Manage fuel card program, vehicle insurance, registration, and licensing
  • Track and report cost-per-mile metrics; identify and execute year-over-year cost reduction opportunities
  • Oversee vehicle acquisition, disposition, and lifecycle planning in coordination with ownership
  • Hire, train, coach, and evaluate warehouse staff and drivers
  • Foster a culture of accountability, safety, and continuous improvement
  • Conduct regular team huddles, safety briefings, and performance reviews
  • Partner with HR to manage scheduling, overtime, and disciplinary actions
  • Own the warehouse and fleet P&L; develop and manage annual budgets
  • Deliver monthly KPI reports to ownership covering inventory accuracy, fleet costs, fulfillment rates, and headcount
  • Identify cost-saving opportunities across procurement, logistics, and operations
  • Participate in strategic planning discussions with senior leadership
