About The Position

Olympic Plumbing Technology (OPT) is seeking a Warehouse & Inventory Specialist to manage their parts supply chain, from procurement to truck-level inventory. This role involves daily replenishment, kit building, parts runs, purchase order processing, special order management, truck inventory resets, new truck setup, and supporting accurate financial documentation. The specialist will work closely with the Warehouse Operations Coordinator and field technicians to ensure parts availability supports job completion. Requirements

  • Experience with parts supply chain management from procurement through inventory.
  • Proficiency in generating replenishment lists.
  • Ability to perform kit inventory and restocking.
  • Experience with parts runs to vendors.
  • Skill in processing purchase orders.
  • Experience managing special order requests.
  • Ability to update inventory management systems (e.g., ServiceTitan).
  • Capability to perform pricebook updates.
  • Experience with financial documentation, including invoices and credit card receipts.
  • Familiarity with truck inventory management and resets.
  • Ability to barcode new parts.
  • Experience maintaining bin location records.
  • Ability to clean and prepare trucks for new employees.
  • Experience setting up new trucks with inventory and equipment.
  • Knowledge of equipment check-out procedures.
  • Ability to monitor equipment sign-out sheets.
  • Experience with warehouse cycle counts.
  • Ability to process material returns.
  • Experience with facility duties such as trash and recycling management.
  • Ability to ensure facility security.

Responsibilities

  • Generate and work replenishment lists daily.
  • Complete daily kit inventory and restocking, sending a daily usage log to Accounts Receivable for same-day cost tracking.
  • Prepare Weekend Kit Support setup each week.
  • Generate Truck Replenishment Lists daily.
  • Execute daily parts runs to vendors as needed.
  • Process and fulfill special order parts requests submitted by technicians.
  • Update Special Order Tracker same day or as needed.
  • Monitor all technician and company chats and respond promptly.
  • Update and receive purchase orders daily in ServiceTitan.
  • Perform daily pricebook updates in ServiceTitan.
  • Receive emailed invoices (rentals, sub-contractors, etc.) and respond accordingly.
  • Upload credit card receipts to HubDocs daily.
  • Send a weekly Kit Usage Report summary to the Finance Specialist.
  • Conduct truck inventory resets as needed.
  • Conduct truck equipment inventory reset as required.
  • Barcode all new parts before placement in warehouse.
  • Maintain accurate bin location records in inventory management system.
  • Clean vacated trucks to company standards when an employee separates from OPT.
  • Pull and document all inventory from the departing employee's truck.
  • Count all returned materials and reconcile against the truck's approved parts list.
  • Restock the truck with verified materials so it is ready for the next assigned employee.
  • Prepare newly purchased trucks for field deployment following the approved planogram and parts list.
  • Stock each truck to the correct inventory level based on its designated truck type.
  • Verify all required equipment, materials, and consumables are in place before the truck is cleared for field use.
  • Coordinate with the Warehouse Operations Coordinator to confirm readiness sign-off.
  • Ensure the Equipment Check-Out SOP is followed by all employees accessing shared tools and equipment.
  • Monitor equipment sign-out sheets daily and flag any missing or overdue items to the supervisor.
  • Report damaged, missing, or non-compliant equipment immediately.
  • Conduct weekly warehouse cycle counts.
  • Process and document all material returns.
  • Manage cardboard breakdown and recycling.
  • Coordinate water heater disposal per schedule.
  • Coordinate stock replenishment with Warehouse & Field Support Specialist.
  • Re-organize warehouse inventory sections as needed.
  • Add and update bin locations.
  • Participate in nightly security walk.
  • Take trash and recycling out on assigned days.
  • Ensure facility is secured before departure each evening.
