About The Position

The Warehouse & Facilities Specialist is responsible for the efficient receipt, storage, inventory control, packaging, and shipment of company materials and equipment. This role serves as the primary point of coordination for inbound and outbound logistics, including domestic and occasional international shipments. In addition to warehouse operations, this position supports facility management by coordinating with third-party service providers and helping maintain a safe, organized, and professional work environment. During periods of lower shipping volume, the Warehouse & Facilities Specialist will provide support to the Fabrication Department through rack assembly, equipment staging, and other production-related activities.

Requirements

  • High school diploma or equivalent.
  • 2+ years of warehouse, logistics, shipping/receiving, or related experience.
  • Experience coordinating shipments and working with freight carriers.
  • Basic understanding of inventory management principles.
  • Valid driver's license and acceptable driving record.
  • Ability to safely lift and move materials up to 50 pounds.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, and Teams.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.

Nice To Haves

  • Experience in the audiovisual, construction, technology, or systems integration industry.
  • Experience with ERP, inventory management, or purchasing systems.
  • Familiarity with LTL/FTL freight, parcel shipping, and logistics coordination.
  • Basic understanding of international shipping procedures.
  • Experience with rack assembly, fabrication, or technical equipment staging.
  • Forklift certification or willingness to obtain certification.

Responsibilities

  • Receive, inspect, and verify incoming shipments against purchase orders, packing slips, and project requirements.
  • Accurately record received materials and ensure proper inventory tracking within company systems.
  • Organize and maintain warehouse inventory, storage locations, and material handling processes.
  • Pick, package, and prepare equipment and materials for shipment to project sites, offices, and client locations.
  • Coordinate freight pickups and deliveries with carriers, freight brokers, and project teams.
  • Obtain and evaluate shipping quotes for domestic freight, parcel, and expedited shipments.
  • Coordinate vendor drop shipments and direct-to-site deliveries as required by project schedules.
  • Maintain shipping documentation, bills of lading, packing slips, and tracking records.
  • Assist with inventory counts, cycle counts, and warehouse audits.
  • Ensure warehouse cleanliness, safety, and organization standards are maintained.
  • Coordinate domestic shipments using parcel, LTL, FTL, and courier services.
  • Assist with occasional international shipments, including coordination of commercial invoices, customs documentation, and freight forwarding requirements.
  • Monitor shipment status and proactively communicate delays or issues to project teams.
  • Work closely with Procurement, Project Management, and Operations teams to support project delivery schedules.
  • Serve as the primary internal coordinator for facility-related vendors and contractors.
  • Schedule and coordinate routine services including: Janitorial services, HVAC maintenance and repairs, Building maintenance vendors, Pest control services, Security system providers, Vehicle maintenance and service appointments, Waste and recycling vendors.
  • Monitor facility conditions and identify maintenance needs.
  • Assist in ensuring compliance with workplace safety policies and facility standards.
  • Coordinate access for contractors and service providers performing work at company facilities.
  • Maintain records of facility service schedules, inspections, and vendor contacts.
  • When warehouse activity allows, provide support to the fabrication team, including: Assemble AV equipment racks and enclosures according to company standards and engineering documentation, Install basic rack hardware, cable management, and equipment mounting components, Stage equipment and materials for fabrication and project deployment, Support quality control inspections of fabricated assemblies, Assist fabrication technicians with general production tasks as needed.
