About The Position

The W.I.S.E. Scholarship Administrator (WSA) is responsible for providing program leadership and comprehensive administrative support for all scholarships offered through the Boys & Girls Clubs of Greater Scottsdale. This includes, but is not limited to, the W.I.S.E. Scholarship, the Auxiliary Scholarship, HOPE Scholarship, Parsons Scholarship and Youth of the Year Scholarship. The SSA works very closely with BGCS, The Steele Family Foundation (the W.I.S.E. Scholarship's sponsor), a dedicated guidance counsellor, and a non-formal education coordinator, all to determine the best practices for administration of scholarships and college and career preparation programming and opportunities offered through Boys & Girls Clubs of Greater Scottsdale. The SSA will additionally review student outcomes in comparison to program goals. Additional responsibilities include working directly with Club members and alumni receiving any scholarship through the Boys & Girls Club. This includes collecting required academic documentation from newly enrolled & active college students on scholarships, tracking finances, processing tuition payments, and assisting scholarship students who need academic resources.

Requirements

  • Bachelor’s degree from an accredited college or university.
  • Minimum 3 years of programmatic experience.
  • Experience working in an administrative environment.
  • Experience with budgeting, financing, and project management.
  • Must be proficient in Microsoft Suite applications.
  • Must be comfortable with technology, and with learning how to maneuver and manage software, reporting systems and databases.
  • Ability to work effectively with members, staff, and community leaders.
  • Excellent interpersonal, influencing, and conflict-resolution skills.

Nice To Haves

  • Previous experience in enrollment management or scholarship administration.

Responsibilities

  • Laying the groundwork to expand the W.I.S.E. scholarship program to another BGCS Club location.
  • Implementing the timelines and budgets with all associated W.I.S.E. Scholarship party members in order to finalize the longer-term phase 2 funding agreement.
  • Identifies and validates on behalf of all stakeholders, the feasibility of launching the W.I.S.E. Scholarship Program™ in the demographic region and student uptake, within the BGCS existing eco-system.
  • Under the supervision of the Director of Programs, works very closely with the W.I.S.E. Scholarship guidance counsellor, non-formal education coordinator, Boys & Girls Club staff members and Executive Team on the strategic direction of the overall scholarship program.
  • Communicates with students as needed to provide any assistance with the W.I.S.E. Scholarship portal and payment of scholarships in a timely manner.
  • Support and serve on all scholarship selection committees.
  • Collect and manage data and feedback from W.I.S.E. Scholarship recipients and report that to the Steele Family Foundation.
  • Manage and track budget for all scholarships associated with BGCS.
  • Manage stewardship initiatives for donors that support our BGCS scholarship programs.
  • Develop objectives and recommend changes to existing processes and practices to increase the accuracy of information and the programs' efficiency and responsiveness in order to promote the highest level of support service.
  • Works with Director of Programs, the W.I.S.E. Scholarship guidance counsellor, non-formal education coordinator, Branch Directors, Finance, BGCS Foundation, donors, and community partners to track postsecondary status of Club members on scholarship and to also track status of scholarship usage.
  • Being the initial point of contact for hardship situations, overruns, appeals, and crises, as well as interviewing students as needed.
  • Supports and mirrors the culture, mission, values, and core beliefs of Boys & Girls Clubs of Greater Scottsdale.
  • Works closely with the W.I.S.E. Scholarship guidance counsellor and non-formal education coordinator, to help scholarship students uncover their potential, improve study habits, and discover career goals.
  • Provide regular, in-person, hands-on, college and preparation programmatic support in all branches as assigned by Director of Programs.
  • Organizes college tours, outreach, and informational sessions for teen members in all BGCS Clubs.
  • With the assistance of the W.I.S.E. Scholarship guidance counsellor and non-formal education coordinator, provides college, FASFA, and scholarship application support to teen members in all BGCS Clubs.
  • Ensures the President/CEO, Director of Programs, Board of Governors, the W.I.S.E. Scholarship guidance counsellor, donors, and community partners are provided with the information and support necessary to fulfill college and career preparation objectives.
  • Performs additional general programmatic duties as needed: order supplies, organize materials, facilitate programming, and maintain records.
