Requirements

  • High School Diploma/GED - minimum
  • 4 years Office and administrative experience - minimum
  • No license or certification required

Responsibilities

  • Performs specialized administrative and general office activities in order to establish and manage the facilitation of administrative workflow within the department and/or unit.
  • Supports an individual or multiple staff members by arranging their schedules, appointments and itineraries.
  • Leads and/or assigns work to other employees within the department.
  • Reviews the work of others and provides feedback and coaching.
  • Lead projects, processes, and/or daily operations and department tasks.
  • Leads, assigns and reviews the work of other department staff engaged in a full range of office activities.
  • Provides coaching and feedback.
  • Provides administrative support to one or more department leaders, which may include arranging schedules, appointments and itineraries.
  • Coordinates meetings including preparation of agendas and logistics.
  • Establishes and monitors the administrative workflow and procedures for a department and/or unit.
  • Researches and compiles financial and/or operational data from multiple sources to assist management in budget and workforce planning, and evaluating departmental performance.
  • May prepare summary of information or data, and recommend action.
  • Submits, monitors and tracks invoices, reimbursements, and supply management.
  • May assist with preparation and submission of expense reports.
  • Schedules appointments and meetings.
  • Makes arrangements for meetings, conferences, or travel for an individual, group, or department.
  • Coordinates with internal departments and external vendors, as necessary for all event logistics.
  • Composes and maintains inventory of departmental policies and procedures.
  • May be responsible for onboarding new hires including new hire preparation (e.g. equipment/supply orders) communicating expectations, providing work instruction/training, and department-specific information.
  • May act as or supports the Staff Development Advisory Network (SDAN), Safety Representative and/or Kronos editor within the department and or unit.
  • May be responsible for maintaining par levels of department supplies.
