About The Position

The Volunteer Specialist works under the direction of the Director of Human Resources. This position is responsible for the successful design and implementation of the overall volunteer program including the following areas: recruitment, application, onboarding, training, placement, recognition, retention and reporting for all volunteers and interns. The Volunteer Specialist also assists the Director of Human Resources with daily tasks that pertain to recruitment, retention, field research, training, HRIS, and other matters that are employee related.

Requirements

  • Bachelor’s degree from an accredited college or university in Human Resources, Business, or a related field preferred.
  • Candidates with an associate degree and additional relevant experience may be considered.
  • At least one year of hands-on experience in Human Resources, with demonstrated experience leading or managing volunteer programs in a nonprofit setting.
  • Possession of a valid California driver's license and proof of liability insurance on personal auto.
  • Must be insurable at all times at standard rate by MMC insurance carrier.
  • Must successfully pass a drug, background and Tuberculosis test.
  • Commitment to the mission and vision of MMC with a deep interest in helping others.
  • Demonstrated ability to work with sensitivity and without discrimination towards peoples of diverse cultures, races/ethnicities, socio/economic positions, ages, religions, and genders, physical, mental challenges, disabilities, and sexual orientations.
  • Knowledge of general office practices, procedures, and terminology. Demonstrated ability to use current business software applications,

  • Excellent communication skills and ability to communicate effectively, clearly, and concisely both verbally and in writing in English.
  • Ability to receive and utilize constructive feedback regarding performance, presentation and relationships with others.

Responsibilities

  • Recruit’s volunteers through outreach to the community.
  • Holds regular Volunteer Information Sessions, or attends volunteer fairs, throughout Fresno County to recruit and educate prospective volunteers.
  • Processes all volunteer applications and ensures process meets all compliance and performance standards.
  • Develops, manages, and conducts training of all volunteers and interns. Develops and implements volunteer training plans, programs, and support materials such as volunteer handbooks and training guides.
  • Develops and manages volunteer recognition and retention program and gatherings.
  • Develops and implements volunteer recognition programs.
  • Plans and hosts volunteer recognition events.
  • Employs programs designed to retain volunteers.
  • Conducts annual volunteer satisfaction survey.
  • Creates and implements communication strategies to ensure efficient and effective communication with volunteer base.
  • Manages the volunteer social media connections.
  • Manages the volunteer email distribution lists.
  • Manages volunteer staffing requirements for both internal and external events, including staffing many of the events personally.
  • Works closely with MMC’s leadership team to identify and support areas of volunteer need.
  • Manages volunteer program.
  • Manages semester recruitment, application, interview and selection process.
  • Manages de-activation and removal processes for inactive volunteers.
  • Addresses, mitigates and/or mediates all concerns or issues involving volunteers.
  • Develops and implements de-activation protocol and removal process.
  • Responsible for all aspects of the Volunteer Program administration.
  • Prepares and updates Volunteer Program policies, practices, and guidelines.
  • Ensures that each volunteer annually updates the required compliance paperwork.
  • Track and report volunteer applicant data and statistics.
  • Manages, develops, and creates content for Volunteer portion of MMC’s web site.
  • Perform a variety of general personnel/clerical tasks (HRIS System).
  • Scans files and uploads digital copies to the database.
  • Appropriately files and quickly retrieves documents and paperwork when requested
  • Assist with answering phones for the HR Department.
  • Participates in administrative staff meetings and attends other meetings and seminars.
  • Assist with the planning, coordination, and execution of special HR projects that support organizational goals and enhance employee engagement initiatives.
  • Works collaboratively with colleagues throughout the organization in order to model and support effective cross-departmental partnerships, trauma-informed practices, resiliency-building, and commitment to diversity and inclusion.
  • Adheres to all organizations' and programs' policies and procedures.
  • Attend department and agency-wide meetings as required.
  • Complete other duties as assigned.
