About The Position

Under direction of the Vice President of Advancement, the Volunteer Specialist will support ongoing volunteer, development and fundraising initiatives through database management, customer service and outreach, event coordination support and social media support. Our Volunteer Specialist is the front line of our volunteer ministry and will be the first point of contact donors and members of the community may connect. This person should reflect the faith and values of Open Door Mission of Restoring Hope and Changing Lives. Will communicate with professionalism to varying levels of personnel and external volunteers and donors. Will create and sustain a Christ-centered environment where clients can receive care, respect, encouragement, and prayer. This job may provide some flexible scheduling and/or remote hours pending project availability and needs of the department.

Requirements

  • Committed Christian with a commitment to and a passion for "restoring hope and changing lives"
  • High degree of accuracy, detail orientation, and organization
  • Computer literate; proficient in MS Office Suite, Database Operations, and Internet
  • Proficient with a 10-key and in data entry operations
  • Able to read, write and perform mathematical computations
  • Reliable and trustworthy - able to maintain confidentiality, high productivity and meet deadlines
  • Strong verbal and written communication skills with a customer service orientation
  • Independently motivated and analytical thinker
  • Flexible and adaptable
  • Associate's Degree in a related field, required
  • One (1) year previous database experience required, donor database preferred
  • Previous experience with development and fundraising in a non-profit organization, required

Responsibilities

  • Collaborate with VP to further volunteer department and associated ministry functions.
  • Conduct volunteer training and orientation when necessary.
  • Work closely with program staff to ensure a positive experience for volunteers.
  • Implement policies and procedures established by VP to increase organization and facilitate ministry outcomes.
  • Modify SOPs as needed or required.
  • Work collaboratively with department or event leaders to ensure adequate volunteer coverage for special events, projects and on-going ministry needs.
  • May speak publicly on behalf of ODM at assigned events and/or meetings, setting up and providing tours.
  • Overall responsibility to successfully grow volunteer program, including but not limited to their recruitment and selection process.
  • Create continuity of message for volunteer orientation, training, and engagement within ministry including the development of training material; provide coaching and orientation for volunteer success.
  • Maintain, manage, and update the volunteer database and calendar, or delegate responsibility.
  • Establish and cultivate relationships with local businesses, churches, corporations, and individuals to provide increased volunteerism.
  • Return prospective volunteer calls, inquiries and requests within 72 hours
  • Utilize a feedback tool for volunteers, benefiting to volunteer and ministry.
  • Track volunteer hours and function for future determination of needs and gauge contribution to organization. Provide associated statistics and other requested reports.
  • Receive and process donations via mail, phone, credit card, online, EFT, and additional transaction avenues. Photocopy for record-keeping as needed, file accordingly
  • Maintain the integrity of donor database by ensuring that all donations, donor contact information, campaign codes, and other pieces of data are accurately recorded.
  • Support the Development Specialist in preparing end of month donor receipt files.
  • Support the Development Specialist in preparing files to Direct Mailer for data pulls.
  • Support the Development Specialist in preparing year-end tax statements for donors.
  • Process and deposit contributions received at Plymouth Ave Offices.
  • Responsible to communicate with donors, primarily via phone and written correspondence, to answer questions, process donations, resolve issues, ensure requests are appropriately handled, etc.
  • Monitor and clean up volunteer and donor records: combine duplicate records, input gift entries, correct misspellings or misinformation
  • Assist in cultivation and stewardship of donors and prospects
  • Assist in social media outreach
