About The Position

Valley Settlement uses a two-generation approach to improve early childhood education and provide families with the support they need to thrive. We focus on serving the Latino/a community through a varied network of six programs, each designed to meet different community needs. The Parent Mentor program is designed to bring parent volunteers into elementary school classrooms. This program provides an opportunity for parents and community members to volunteer in their local elementary school classrooms. The role of the Volunteer Coordinator is to work alongside the schools and the volunteers to facilitate this engagement. The Volunteer Coordinator manages a group of 30-40 volunteers across different elementary schools in the Parachute-to-Aspen region.

Requirements

  • Bilingual (Spanish/English), both oral and written.
  • High School Diploma or Equivalent
  • Experience in the coordination of volunteers or a related field
  • Have a valid Colorado driver’s license and a clean driving record
  • Available and reliable vehicle for visiting families and traveling to different program locations (mileage reimbursed)
  • Proficient in Microsoft Office Suite and Google Drive (Documents & Spreadsheets)

Responsibilities

  • Plan, organize, and facilitate new participant orientation, bi-monthly professional development sessions for volunteers, and school lead volunteers meetings.
  • Coordinate the volunteer-teacher matching process.
  • Lead the process of each school agreement with the program for each school year with new or returning lead school staff.
  • Organizes and completes the inventory of program materials.
  • Ensure program spaces are well-maintained and safe for participants.
  • Responsible for new participant enrollment and recruitment through various sources, including door-knocking.
  • Participate in annual required training and/or certification renewal process.
  • Review and revise program documents.
  • Complete the teacher application and agreement process.
  • Follow the volunteer verification process established by the Valley Settlement finance department and the school district.
  • Complete the registration process for new and returning participants through home visits or in-person meetings.
  • Upload and update participant information in the program's data tracking system.
  • Maintain an up-to-date program waitlist following the established process.
  • Respond appropriately to volunteer needs and make referrals as needed to the Family Support Team.
  • Participate in planning, organizing, and facilitating family engagement events.
  • Build trusting relationships with families in our community.
  • Participate in planning, organizing, and facilitating program graduations.
  • Share community resources with program participants.
  • Ensure and facilitate communication between volunteers and school staff.
  • Coordinate with the child care team to communicate child care needs for volunteers.
  • Conduct weekly visits to participating schools to support volunteers by observing the teacher-volunteer relationship and providing guidance and feedback for growth.
  • Attend school events as appropriate to encourage community building and volunteer recruitment.
  • Attend school district board meetings or advisory groups periodically or as advised.
  • Complete work reports per the program's established schedule.
  • Follows organizational home visiting practices and protocols.
  • Maintain a working relationship with organizational partners.
  • Ensure timely and effective communication with the program's supervisor when programming updates, challenges, or changes occur.
  • Must be able to travel to meet the participant in the field (mileage reimbursement provided).
  • Create and maintain an environment that fosters learning and promotes a sense of belonging.
  • Responsible for entering participants' volunteer attendance hours in the tracking system.
  • Save and keep program-related documents up to date in the program's shared drive.
  • Observe teacher-volunteer interactions, note any concerns, and communicate with the program supervisor for guidance and support.
  • Administer teacher feedback surveys at the end of each semester.
  • Engages in the action planning of annual program targets and strategic goals.
  • Administer internal and external program surveys.
  • Attend, reflect, and participate in the annual evaluation retreat.
  • Utilize observational notes and data to inform and adapt programming to participants' needs.
  • Performs all functions and activities within the guidelines and philosophy outlined in VS’s values, mission, vision, and goals.
  • Supports with training new teammates in the onboarding process.
  • Follows program and organizational policies, protocols, and practices at all times.
  • Participate, engage, and provide feedback in individual one-on-ones, team check-ins, all staff meetings, and in other settings.
  • Periodically attend and sometimes lead community events for Valley Settlement programs.
  • Engages in program tours or site visits coordinated by the Development team as needed.
  • Check and respond to emails at the start and end of each workday.
  • Keep work calendars updated with all program activities, meetings, home visits, and any time you will be out of the office.
  • Other responsibilities as assigned.
