About The Position

The Volunteer and Visitor Services Coordinator supports a welcoming, accessible, and engaging museum experience by overseeing DAM’s frontline volunteers and supporting the Sales & Groups Services team. Working collaboratively across departments, this position implements strategies that foster a welcoming environment, integrating daily operations, tours, events, and museum programming into a cohesive visitor focused system. Requirements

  • 1 to 2 years’ experience coordinating volunteers in a public facing environment (museum, nonprofit, cultural institution, hospitality, or similar).
  • Proven ability to work collaboratively across teams and departments.
  • Excellent organizational skills and attention to detail.
  • Strong interpersonal and communication skills with the ability to engage diverse audiences.
  • Dynamic; able to manage multiple areas of responsibility and appropriately assess priorities.
  • Ability to work independently and as a team.
  • Demonstrate professional courtesy by respecting personal boundaries, being empathetic, and listening to others' perspectives.

Nice To Haves

  • Spanish language skills preferred.

Responsibilities

  • Recruit, onboard, train, schedule, and retain a diverse group of volunteers supporting visitor experience and museum operations.
  • Develop and manage frontline volunteer roles that support institutional needs, including welcoming, membership, events, programming and wayfinding support.
  • Ensure appropriate volunteer coverage during regular museum hours and special programs or events.
  • Actively observe, coach and encourage volunteers as they complete their shifts; serve as an onsite resource for volunteer questions and concerns.
  • Maintain accurate volunteer records, schedules, hours tracking, and communications using museum systems.
  • Communicate weekly museum events, programming and operational updates; respond to volunteer questions and concerns in a timely manner.
  • Design and deliver ongoing trainings for volunteers to ensure that they are performing satisfactorily; document performance issues when necessary.
  • Support volunteer engagement, recognition, and feedback efforts.
  • Collaborate with the Manager of Volunteer Services, recruiting and training new volunteers as needed.
  • Collaborate with the Sales and Group Services leadership team to support strategies to grow onsite ticketing and membership sales.
  • Serve as onsite resource for frontline team questions and concerns.
  • Support cohesive frontline training processes across the Visitor Services teams as outlined by the Director of Visitor Services, to ensure team members provide exceptional service, work accurately and efficiently, and adhere to departmental standards and best practices.
  • Overseeing feedback database, ensuring emails are being assigned, logged, and that responses are being coordinated cross departmentally.
  • Serve as a liaison between volunteers and staff, supporting clear communication and positive working relationships.
  • Partner with Learning and Engagement, Marketing, Development, Curatorial and other departments to prepare frontline staff and volunteers for event-specific assignments.
  • Coordinate with Marketing and Communications to ensure all onsite signage and collateral materials are up to date, appropriate for display, and best support the visitor experience.
  • Organize and oversee quarterly virtual meeting that provides operational, exhibition and programming updates for volunteers and visitor services teams.
  • Coordinate collaborative training meetings and enrichment activities with lead visitor ambassadors.
