About The Position

The Volunteer & Advisory Council Coordinator is responsible for recruiting, onboarding, assigning, supervising, recognizing, and managing the performance of Big Bend Health (BBH) volunteers within territory 2A, which includes Bay, Jackson, Washington, Holmes, Calhoun, and Gulf Counties. This position also serves as the primary liaison and coordinator for the Big Bend Hospice Advisory Councils within the assigned territory, and responsible for developing a dedicated advisory council for each county within the assigned territory. Including member recruitment and supporting council engagement, communication, community outreach, projects, and alignment with organizational goals and initiatives. The position collaborates with Community Educators, Marketing team, Volunteer Services, leadership, community partners, and other staff to strengthen volunteer services and community engagement throughout the territory.

  • BA/BS Degree in public relations, communications, social work, human resources, business administration, or a related field. Equivalent related experience may be considered in lieu of educational requirements.
  • A minimum of three years of experience in volunteer coordination, community engagement, marketing, public relations, administration, healthcare, or a related field, with experience coordinating volunteers, committees, community partners, or similar groups.
  • Employee may travel in a vehicle on a regular basis. Must possess a valid Florida Driver’s License and is required to comply with Florida State law regarding seatbelt usage while on duty.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.
  • Must be able to stand; walk; sit; use hands to finger, handle or feel; and reach with hands and arms.
  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • While performing duties of this job, employee is regularly required to talk or hear.
  • Must wear personal protective equipment according to agency policy.

Responsibilities

  • Provides ongoing support and supervision for BBH volunteers; acts as a single point of contact for communications, verifies volunteer availability, receives feedback, and answers questions.
  • Completes annual evaluations on assigned volunteers.
  • Provides direction and coordination to Advisory Council activities within Territory 2A; no direct employee supervisory responsibility.
  • Identifies and cultivates relationships with community partners in Territory 2A to recruit, engage, and recognize volunteers; organizes outreach events and represents BBH in assigned counties.
  • Develops strategic initiatives to attract, engage, and retain volunteers throughout Territory 2A.
  • Develops print materials and provides educational presentations for volunteer recruitment, community outreach, hospice, and palliative care awareness efforts.
  • Works collaboratively with volunteer and marketing teams to develop content for publications, newsletters, and social media to recognize volunteer contributions and promote community engagement.
  • Develops and implements a recruitment plan to market volunteer opportunities and roles throughout the organization; hosts and attends recruiting events; publicizes volunteer opportunities; interviews and pre-screens potential volunteers.
  • Attends volunteer orientation and oversees initial training requirements of assigned volunteers.
  • Develops and participates in ongoing in-service training for volunteers.
  • Matches volunteer opportunities to volunteers based on their skills and interests; utilizes the organization's medical records system to ensure required documentation meets industry requirements; tracks volunteer performance and maintains records of volunteer activities.
  • Develops opportunities and events to recognize volunteer efforts and strengthen volunteer engagement.
  • Provides monthly reports to the department leader detailing activities, new volunteer recruits, inactive volunteers, volunteer activity, and other established performance measures.
  • Responds professionally and timely to patient and family inquiries and needs related to volunteers and volunteer requests.
  • Remains proficient with general office technology, including spreadsheets, medical record systems, word processing, online meetings, time tracking, Volgistics (Volunteer Management Software), and email; utilizes software to maintain volunteer statistics and records.
  • Actively participates in team meetings and committees to enhance working relationships and clear communication between BBH departments.
  • Completes documentation and required reports by deadlines established by the supervisor, including monthly Key Performance Indicator (KPI) reports and reviews.
  • Maintains comprehensive records of volunteer participation, engagement, and activities and ensures compliance with all applicable regulatory requirements.
  • Participates in the Community Relations Workgroup, representing volunteer recruitment, engagement, and recognition opportunities.
  • Facilitates and coordinates Advisory Council meetings within Territory 2A, ensuring productive discussions and alignment with organizational objectives.
  • Provides logistical support for Advisory Council meetings, including scheduling meetings, preparing agendas, coordinating materials, and documenting minutes.
  • Serves as the primary point of contact for Advisory Council members within the assigned territory, fostering strong collaborative relationships and open communication.
  • Manages communication channels, including emails, newsletters, and updates, to keep Advisory Council members informed and engaged.
  • Serves as liaison between Advisory Councils and Big Bend Hospice leadership to facilitate collaboration and align council activities with organizational goals and strategic priorities.
  • Supports council-driven projects and initiatives, including community outreach events, fundraising efforts, and educational programs related to hospice and palliative care.
  • Collaborates with Advisory Council members and other staff to identify best practices for program implementation and community engagement.
  • Assists in identifying community needs and service issues within Territory 2A and develops plans, in collaboration with appropriate leadership, to address identified needs.
  • Guides the development and implementation of operational plans for Advisory Council initiatives, including timelines, deliverables, and outcome measures.
  • Oversees collection and reporting of data related to Advisory Council activities and community engagement for program evaluation and quality improvement.
  • Monitors Advisory Council activities, outcomes, and community impact and provides quarterly summary reports to the Executive Leadership Team.
  • Researches funding opportunities and assists with grant proposal development related to volunteer services, Advisory Council initiatives, and community outreach.
  • Coordinates Advisory Council membership recruitment, selection, orientation, training, and ongoing engagement.
  • Supports quality assurance and performance improvement processes related to volunteer services and Advisory Council activities.
  • Assists with budget management and resource allocation related to assigned volunteer and Advisory Council activities.
  • Meets established Key Performance Indicators (KPIs) for volunteer recruitment, engagement, service activity, Advisory Council participation, community outreach, reporting, and other assigned performance measures.
