About The Position

The Vocational Program Coordinator is responsible for the overall management, coordination, and supervision of the agency's Adult Day Support programs and Supported Employment program. This position ensures the delivery of high-quality, person-centered services that promote community integration, skill development, independence, employment opportunities, and meaningful engagement for individuals with intellectual and developmental disabilities (IDD). The Vocational Program Coordinator provides direct supervision to program staff, ensures compliance with Virginia licensing regulations, Medicaid Waiver requirements, CARF (Commission on Accreditation of Rehabilitation Facilities) standards, and agency policies. This position promotes a culture of continuous quality improvement, person-centered planning, employment outcomes, and organizational excellence. The Vocational Program Coordinator reports directly to the Director of Adult Day Services.

Requirements

  • Minimum of three (3) years of experience working with individuals with intellectual and developmental disabilities, vocational services, supported employment, adult day support services, rehabilitation services, or a related field.
  • Associate's degree, bachelor's degree, or an equivalent combination of education, training, certifications, and relevant work experience.
  • Knowledge of person-centered practices, Medicaid Waiver services, Virginia licensing regulations, documentation requirements, and quality assurance processes.
  • Strong leadership, organizational, communication, and problem-solving skills.
  • Ability to supervise multiple programs, staff, and operational priorities simultaneously.
  • Proficiency with electronic documentation systems, Microsoft Office, and related software.
  • Valid driver's license and acceptable driving record.
  • Must be insurable under the agency's automobile insurance policy.

Nice To Haves

  • Minimum of one (1) year of supervisory or leadership experience preferred.
  • Knowledge of or experience with CARF (Commission on Accreditation of Rehabilitation Facilities) standards, accreditation processes, and continuous quality improvement practices preferred.

Responsibilities

  • Oversee the daily operations of all assigned Adult Day Support and Supported Employment programs.
  • Ensure services are delivered in accordance with agency policies, Medicaid Waiver requirements, Virginia licensing regulations, CARF standards, and best practices.
  • Ensure the health, safety, welfare, dignity, and rights of individuals receiving services at all times.
  • Participate in ISP meetings, SIS assessments, behavior plan meetings, and other interdisciplinary team meetings as needed.
  • Monitor program quality and conduct regular quality assurance reviews to ensure compliance and service excellence.
  • Ensure timely completion, accuracy, and maintenance of all required documentation, including ISP implementation, progress notes, attendance records, data collection, incident reports, billing-related documentation, and quarterly reviews.
  • Follow up on incidents, accidents, injuries, medication concerns, and program issues in accordance with agency policy.
  • Support the agency's CARF accreditation efforts and participate in licensing reviews, audits, surveys, and quality improvement activities.
  • Maintain program documentation, procedures, and practices that support person-centered, outcomes-driven service delivery.
  • Promote meaningful community engagement, volunteer opportunities, recreational activities, employment experiences, and community-based programming.
  • Coordinate work assignments, transportation, staffing, and scheduling for Mobile Crew operations.
  • Develop and maintain positive relationships with community employers, business partners, contract sites, and vocational stakeholders.
  • Monitor productivity, service quality, contract expectations, and customer satisfaction for Mobile Crew activities.
  • Identify opportunities to expand employment services, vocational experiences, and community partnerships.
  • Ensure facilities, vehicles, and equipment are maintained in a safe, clean, and operational condition, including oversight of vehicle inspections and transportation requirements.
  • Respond appropriately to emergencies and crisis situations and ensure emergency preparedness plans, drills, and safety procedures are followed.
  • Prepare reports and provide updates to the Director of Adult Day Services regarding program performance, staffing, incidents, compliance, and operational needs.
  • Serve as acting designee for the Director of Adult Day Services when assigned.
  • Assist with coverage and support across programs as needed.
  • Perform other duties as assigned.
