About The Position

Coordinate the operations of the Entrance Gate, the Visitor’s Center, including guest service, ticket sales, and cash handling as well as Special Events and Educational Programs. This role provides excellent customer service to Bok Tower Gardens daily visitors upon entry and exit at the Main Gate, and during their visit to the Gardens, Visitor Center and Information Desk. The associate will assist the Visitor Engagement department with event and administrative support, manage and run reports for the department, and ensure daily visitors and groups are greeted, oriented, and provided with needed assistance. They will respond to questions, comments, issues, and concerns in an exemplary professional and personal manner, and respond to visitor/staff emergencies following proper emergency procedures. The role also assists with programming that fosters appreciation, builds knowledge, and cultivates a connection to Bok Tower Gardens’ mission. Responsibilities include handling all transactional activities for visitors using the Gardens membership, admission, and ticketing software, Altru, and providing wedding and rental clients with familiarization/site tours. The associate will work positively with, coordinate, and train Information Desk volunteers, as well as all BTG volunteers, as needed. They will serve as Supervisor on Duty for Special Events as needed and clear the Gardens of visitors after operating hours have ended. Additionally, the associate will promote all aspects of Bok Tower Gardens including special events, weddings and rentals, Pinewood tours, Program & Event offerings, art sales, the Café, Gift shop, and membership. They will also assist with monthly reporting for Visitor Services and Education Department or as needed, and perform other duties as assigned by Supervisor or Director.

Requirements

  • High School diploma or equivalent preferred.
  • Previous guest experience and customer service experience dealing with a high volume of visitor/public contact.
  • Excellent human relations skills to deal effectively with visitors/public in person or on the telephone preferred.
  • Previous cashier experience preferred.
  • Experience coordinating small to mid-size events.
  • Excellent customer service and people skills.
  • Event and talent management.
  • Dependable and trustworthy.
  • Organized and detail oriented.
  • Strong interpersonal, problem solving, and communication (written and verbal) skills.
  • Ability to work independently as well as part of a team effectively.

  • Intermediate to advance level software proficiency in Microsoft Word, Excel, Outlook and Internet required.
  • Thorough knowledge of modern office practices and procedures and the use of office machinery and equipment required.

  • Ability to work with minimal instruction or supervision.
