About The Position

DesignYourBasement is a leading residential design and remodelling company that specialises in custom basement design, finishing, and remodelling services. Since our founding in 2010, we have helped homeowners across the United States and parts of Canada to maximise their space, functionality, and home value. We create detailed basement floor plans, permit-ready blueprints, and stunning 3D renderings to help clients visualise their projects before construction begins. We are seeking a dedicated and organised professional to join our team and support our continued growth. We are looking for a proactive and detail-oriented Virtual Assistant to provide comprehensive administrative support to our team. This is a FULL_TIME, remote position. The ideal candidate will be an exceptional organiser and communicator, capable of managing multiple tasks efficiently while working independently. You will play a crucial role in ensuring the smooth operation of our design and client management processes, directly contributing to our mission of delivering outstanding basement design solutions. Although this is a remote role, our company is headquartered in Thornton, Colorado, United States.

Requirements

• Proven experience as a Virtual Assistant, Administrative Assistant, or in a similar role.
• Exceptional organisational and time-management skills with the ability to prioritise tasks effectively.
• Excellent written and verbal communication skills with a high level of professionalism.
• Strong proficiency in Microsoft Office Suite, Google Workspace, and other common office software.
• The ability to work independently with minimal supervision and a high degree of self-motivation.
• Meticulous attention to detail and a commitment to producing high-quality work.

Nice To Haves

• Experience or a keen interest in the interior design, architecture, or construction industry would be highly advantageous.
• Familiarity with project management software (e.g., Asana, Trello) or CRM systems is desirable.

Responsibilities

• Manage calendars, schedule client consultations, and coordinate appointments for the design team.
• Serve as a primary point of contact for client enquiries, handling emails and phone calls in a professional and timely manner.
• Prepare, organise, and maintain project-related documents, including client briefs, contracts, and design files.
• Perform accurate data entry and maintain up-to-date client records in our company database or CRM system.
• Assist with basic project coordination tasks, such as tracking project milestones and following up on deadlines.
• Provide general administrative support to ensure the efficient running of day-to-day operations.
• Liaise with internal team members to ensure clear communication and workflow continuity.
