About The Position

Briarwood Animal Hospital is seeking a courteous and efficient veterinary practice manager to coordinate and manage all office administration procedures. The role involves ordering, inventory management, coordinating schedules, resolving conflicts among office staff, training staff, and ensuring the practice operates efficiently. The manager will also answer pet owners' questions regarding clinic policies, appointment availabilities, and treatment costs. The ideal candidate should be patient, detail-oriented, and adept at multitasking, with strong management, organizational, and customer service skills, and effective communication with both pet owners and veterinary staff.

Requirements

  • Minimum of 1-year management experience preferred or 3+ years veterinary experience preferred
  • Knowledgeable in veterinary medicine terminology
  • Knowledgeable in how to run a veterinary hospital
  • Compassionate, Calm, Team Player, Multi-Tasker and Strong Communicator
  • Highly organized
  • Possess computer skills

Responsibilities

  • Make informal recommendations to the veterinary regional manager concerning staffing needs, advancement, re-assignments, hours of work or other status changes affecting receptionists.
  • Direct on-the-job training to develop employee skills, advise employees of performance requirements and their progress, discuss corrective measures, and prepare appraisals.
  • Recruit, hire, and onboard staff members who fit the hospital's culture and needs. Terminate staff who do not follow guidelines, policies, and protocols. This includes handling job descriptions and assisting with setting salaries.
  • Market the hospital to prospective customers and the veterinary community by identifying and attending relevant local and regional events.
  • Resolve informal employee complaints, provide explanations of hospital personnel policies and procedures, and maintain effective employee-management communication.
  • Work collaboratively with all team members, ensuring actions support the hospital, doctors, and practice philosophy.
  • Maintain knowledge of hospital procedures for assembling patient records and recording veterinary practitioners' orders for patient activities, diet, tests, and treatments.
  • Demonstrate knowledge of veterinary terminology for accurate entry into patient records.
  • Obtain information from owners to complete records, provide instructions for scheduling appointments and therapeutic activities, and relay practitioners' orders concerning animal care and treatment.
  • Ensure pet owners' complaints are promptly addressed and resolved.
  • Provide strong client service skills.
  • Prepare employee work schedules and manage office staff.
  • Exhibit strong leadership, communication, and motivation skills, with the ability to direct, guide, and assist individuals.
  • Demonstrate knowledge of the structure and content of the English language, including spelling, grammar, and composition rules.
  • Show unbiased judgment when managing people and make fair recommendations regarding personnel issues and disciplinary actions.
  • Answer telephone calls politely and professionally.
  • Establish an inventory control system to ensure adequate supplies, review prices, and maintain inventory control (including controlled drugs) by monitoring quantities, qualities, and price points, including equipment and returns.
  • Manage and/or implement hospital policies, including DEA/Controlled Substances and OSHA.
  • Ensure payroll is completed and submitted accurately and in a timely manner.
  • Establish good relationships with vendors for optimal support.
  • Promptly notify appropriate veterinary staff of emergency cases.
  • Interview suitable office staff candidates and provide training to office employees as needed.
  • Perform other duties as assigned.
