About The Position

The Veterinary Practice Manager is responsible for the day-to-day operations and administration of Thaw Animal Hospital. This includes overseeing client services, supervising support staff, maintaining regulatory compliance, managing scheduling and inventory, supporting financial processes, and ensuring smooth clinic flow. The VPM fosters a positive, respectful, and efficient workplace culture that supports the Shelter’s mission and provides compassionate, high-quality care to clients and patients.

Requirements

  • Experience in veterinary practice management or a similar role.
  • Knowledge of veterinary clinic operations and administration.
  • Familiarity with regulatory compliance (DEA, NM Board of Pharmacy, NM Veterinary Board).
  • Experience with staff supervision, training, and scheduling.
  • Budgeting and financial monitoring skills.
  • Proficiency in hospital software and data entry.
  • Excellent communication and interpersonal skills.
  • Ability to resolve client concerns professionally.
  • Strong organizational and time-management skills.
  • Ability to maintain licenses and credentials.
  • Understanding of safe handling of controlled substances.

Responsibilities

  • Maintain positive, professional relationships with staff and volunteers.
  • Hire, train, and manage support staff; support onboarding of veterinary staff as appropriate.
  • Schedule staff and doctors across all three locations; coordinate coverage for PTO or absences.
  • Coordinate regular staff meetings; support a culture of open communication and continuous improvement.
  • Provide performance feedback to support staff and participate in review processes.
  • Support resolution of staff concerns in collaboration with HR or leadership.
  • Ensure compliance with all regulatory agencies (DEA, NM Board of Pharmacy, NM Veterinary Board).
  • Maintain up-to-date facility licenses and doctor credentials.
  • Oversee hospital software to ensure consistent, accurate data entry.
  • Maintain appropriate inventory of medical and non-medical supplies.
  • Oversee safe handling and storage of controlled substances and clinic materials.
  • Ensure completion and proper filing of new hire paperwork and other personnel forms.
  • Assist in preparing and monitoring clinic budgets in collaboration with the Finance team.
  • Track clinic revenue and expenses; identify opportunities for operational efficiency.
  • Monitor invoicing and payments; coordinate with leadership regarding financial policies.
  • Determine when special financial arrangements may be offered to clients, per policy.
  • Act as a liaison between clinic teams and other departments at the shelter.
  • Stay informed on shelter-wide initiatives to ensure consistent communication.
  • Coordinate with medical and administrative teams to align on goals and processes.
  • Attend monthly department leader meetings and participate in collaborative planning.
  • Provide additional administrative support as needed.
  • Maintain compliance with all shelter policies and procedures.
  • Perform other duties as assigned by leadership.
  • Assure all safety and security procedures are intact and followed.
  • Schedule doctors for all 3 locations, including finding coverage for PTO requests.
