About The Position

The Hospital Administrator serves as the operational leader of a high-performing, multi-specialty veterinary practice, overseeing daily operations, staff leadership, financial performance, client experience, and regulatory compliance across all specialty service lines at the location. This role partners closely with each service line, board-certified specialists, residents, and regional leadership to ensure efficient workflows, exceptional patient care, strong referral relationships, and sustainable growth across the entire location. The ideal candidate is a strategic, people-focused leader with experience in healthcare or veterinary operations, ideally across multiple departments or service lines, who thrives in a fast-paced, multi-specialty medical environment. Animal Outpatient Specialty Network (AOSN) brings together leading veterinary specialty brands to serve as one of the largest veterinary specialty networks with more than 60 primary locations, numerous satellite clinics, and 100+ board-certified specialty DVMs and service lines co-located to offer clients coordinated, one-stop specialty care. AOSN is excellence-driven in clinical care, research, education, and residency training across every specialty it operates. The Hospital Administrator leads daily operations, staff performance, client service, and financial management across all specialty service lines at the location, while supporting exceptional patient care in each specialty. This role is responsible for the overall operational performance of the hospital, including staff leadership, client experience, financial oversight, compliance, and facility management. This role partners closely with the Medical Lead of each specialty and the District Manager to ensure high standards of care, efficiency, profitability, cross-specialty coordination, and team engagement location-wide.

Requirements

  • High School Diploma required (Associate's or Bachelor's preferred)
  • Experience in healthcare, veterinary medicine, or service-oriented operations preferred
  • Prior leadership, HR, and training experience strongly preferred
  • Veterinary or specialty medical practice experience is a plus
  • Experience in a multi-specialty, multi-department, or hospital-wide operations role strongly preferred
  • Minimum of 3-5 years experience in healthcare, veterinary medicine, speciality medicine, or multi-site service

Responsibilities

  • Interviews, hires, trains, schedules, evaluates, disciplines, and terminates staff.

  • Serves as the primary operational decision-maker across all specialty service lines at the location; escalates specialty-specific clinical decisions to the relevant Medical leadership.
  • Mediates and resolves cross-specialty scheduling, shared-space, and resource conflicts.
  • Recruits, trains, mentors, and evaluates front office and technical staff across all specialty service lines.
  • Manages schedules, payroll, timekeeping, and performance reviews.
  • Enforces clinic policies and maintains high morale.
  • Coordinates staff education, CE, and development.
  • Ensures efficient patient flow and team communication.
  • Serves as the central operational point of contact for all specialty service lines at the location.
  • Coordinates shared resources — exam rooms, imaging, surgical suites, treatment areas, front desk/reception — across specialties to maximize efficiency and minimize conflict.
  • Facilitates internal referrals and case co-management between specialties.
  • Standardizes client-facing processes (check-in, estimates, follow-up) across all service lines while respecting specialty-specific protocols.
  • Aligns hiring, scheduling, and development for shared staff and specialty-specific staff.
  • Partners with each specialty's Medical Director to set service-line goals and resolve interdepartmental issues.
  • Consolidates and reports location-wide financial and operational performance, with visibility by specialty service line.
  • Oversees patient intake, hospitalization, treatment coordination, and discharge across all specialties.
  • Ensures accurate, complete medical records and logs.
  • Ensures referral letters to referring veterinarians are sent in a timely manner.
  • Supports technical staff and steps in clinically as needed.
  • Maintains compliance with medical, safety, and quality standards across every specialty service line.
  • Ensures a professional, welcoming, and efficient client experience across every specialty.
  • Handles client concerns with diplomacy and resolution focus.
  • Oversees appointment scheduling, phone protocols, and follow-ups.
  • Ensures timely communication with referring veterinarians.
  • Supports client education and estimate presentation.
  • Monitors revenue, expenses, and budget adherence.
  • Reviews daily transactions to ensure accurate charge capture.
  • Oversees cash handling, deposits, and financial audits.
  • Analyzes financial reports and identifies growth opportunities.
  • Tracks and reports financial performance by specialty service line, in addition to overall location performance.
  • Supports and executes internal and external marketing initiatives.
  • Ensures staff utilization of marketing tools and promotions.
  • Tracks effectiveness of marketing efforts.
  • Coordinates marketing and referral-development efforts across specialties to promote the location's full range of services.
  • Ensures OSHA, DEA, safety, and regulatory compliance.
  • Ensures all doctors and technicians are up to date with their professional licenses.
  • Oversees inventory controls and vendor coordination.
  • Maintains cleanliness, organization, and professional appearance of the clinic.
  • Coordinates facility maintenance and janitorial services.
  • Participates in leadership and district meetings.
  • Organizes and leads monthly staff meetings.
  • Communicates corporate policies and operational updates to staff.
  • Facilitates regular cross-specialty leadership meetings to align on shared operations, resource use, and service-line goals.
