Mission Build and maintain a high-performing VA Disability operation through operational analytics, process improvement, workflow optimization, and accountability. Ensure the practice can scale efficiently while maintaining consistency, quality, and predictable outcomes. Position Summary The VA Operations Manager reports directly to the Chief Operating Officer and is responsible for monitoring, analyzing, and improving operational performance across the VA Disability practice. This role focuses on identifying inefficiencies, eliminating bottlenecks, improving workflows, and creating scalable systems that enable platoons to operate at peak performance. The VA Operations Manager provides visibility into operational health through data, reporting, and performance analytics while driving initiatives that improve throughput, reduce delays, and increase consistency across the practice. Working closely with Platoon Leaders, IT & Development Teams, Legal Teams, and Administrative Teams, this role ensures operational standards are executed consistently and that leadership has the information necessary to make informed decisions. This is a highly analytical and execution-oriented role for someone who enjoys solving complex operational problems, building structure, driving accountability, and leading continuous improvement in a fast-paced environment.

Requirements

  • 5+ years of operations management, business operations, process improvement, project management, or operational excellence experience
  • Experience supporting high-volume professional services, legal, healthcare, insurance, financial services, or similar operational environments
  • Strong analytical and problem-solving skills
  • Experience building operational reporting and performance dashboards
  • Proven track record of process improvement and workflow optimization
  • Advanced proficiency with Excel, reporting tools, and operational analytics
  • Experience driving accountability through metrics, reporting, and operational performance management

Nice To Haves

  • Experience in a law firm, VA disability practice, claims environment, or regulated professional services industry
  • Experience with Lean, Six Sigma, EOS, or Continuous Improvement methodologies
  • Experience with Filevine or similar case management systems
  • Experience implementing workflow automation and process redesign initiatives

Responsibilities

  • Develop and maintain operational dashboards, scorecards, and reporting systems
  • Monitor key performance indicators across all platoons
  • Analyze operational trends and identify emerging risks, bottlenecks, and performance gaps
  • Conduct recurring operational reviews and performance assessments
  • Deliver regular reporting to the COO and operational stakeholders
  • Provide data-driven recommendations to improve operational efficiency and effectiveness
  • Monitor operational performance against established benchmarks and expectations
  • Identify missed operational metrics, declining performance trends, and execution gaps
  • Communicate operational performance results to Platoon Leaders and leadership
  • Hold teams accountable to established operational standards and performance expectations
  • Partner with Platoon Leaders to develop and implement corrective action plans when performance falls below expectations
  • Track corrective actions to completion and verify improvement results
  • Escalate persistent operational issues, risks, and performance concerns to the COO
  • Drive transparency through performance reporting, scorecards, and operational reviews
  • Ensure operational commitments, deadlines, and workflow expectations are consistently met
  • Identify inefficiencies and process breakdowns throughout the case lifecycle
  • Conduct root-cause analysis on operational challenges and recurring issues
  • Design and implement process improvements that increase efficiency, consistency, and scalability
  • Eliminate waste, duplication, unnecessary handoffs, and workflow friction
  • Improve workflow design to reduce delays and increase throughput
  • Create sustainable systems that support long-term growth and operational excellence
  • Evaluate and recommend automation opportunities where appropriate
  • Establish and maintain operational standards across the VA practice
  • Conduct operational audits to ensure adherence to workflows, procedures, and firm standards
  • Monitor consistency of execution across platoons and departments
  • Identify recurring operational failures and implement preventative controls
  • Ensure operational processes remain aligned with firm objectives and growth initiatives
  • Support the development of operational best practices across the organization
  • Create, maintain, and improve Standard Operating Procedures (SOPs)
  • Document workflows, policies, operational standards, and process changes
  • Ensure operational documentation remains current, accurate, and actionable
  • Partner with subject matter experts to standardize best practices across teams
  • Support training and onboarding initiatives through effective process documentation
  • Monitor workload trends and resource utilization across platoons
  • Identify capacity constraints before they impact operational performance
  • Assist leadership with workload forecasting and operational planning
  • Recommend resource allocation adjustments based on operational data
  • Support scaling initiatives as case volume and organizational complexity increase
  • Lead operational improvement initiatives assigned by the COO
  • Support implementation of new technology, reporting systems, and workflow enhancements
  • Coordinate cross-functional operational projects
  • Measure effectiveness and adoption of implemented solutions
  • Develop recommendations for future operational investments and improvements
