About The Position

Denver Botanic Gardens is seeking a Full Time Venue Sales Associate in our Events Department. This position is responsible for selling and executing private events held at the Gardens. The Venue Sales Associate acts as a brand ambassador, representing the Gardens' unique offerings to guests and prospective clients. Responsibilities include leading sales tours, assisting with departmental sales strategies from inquiry to event completion, and managing accounts to achieve revenue goals. The role requires on-site presence for all assigned events, maintaining a positive and solution-oriented demeanor, and coordinating client meetings, site visits, and event execution. The associate will manage sales leads through the entire sales process, cultivate client and vendor relationships, and respond to inquiries daily. Key tasks include creating proposals, contracts, and floor plans, ensuring the safe and efficient oversight of events, troubleshooting issues, and reporting any unusual circumstances or safety concerns. The position also involves ensuring proper event setup, coordinating deliveries, completing required paperwork, reporting property damage, and ensuring vendor compliance with Gardens' rules. A satisfactory working relationship with colleagues, clients, and vendors is essential, as is adherence to all departmental policies and procedures. The role contributes to the highest quality visitor experience and may involve assisting with public events. Regular attendance at the worksite is expected, and remote work is at management's discretion. All employees must be committed to the Gardens' mission of connecting people with plants.

Requirements

  • Must be comfortable working in an open office environment.
  • Must have a flexible schedule with availability for early mornings, evenings, weekends, and holidays based on event requirements.
  • Event shifts can vary in length and may extend into overtime as needed.
  • Ability to manage and organize multiple large events/priorities at the same time.
  • Proven excellent customer service, interpersonal, and communication skills in dealing with the public.
  • Ability to maintain stability under pressure and able to deal well with stressful situations.
  • Ability to be flexible and willing to modify plans, when necessary, throughout the day.
  • Knowledge of Microsoft Suite products, specifically Word, Excel and Outlook and Teams.
  • Ability to work overtime as necessary.
  • Must be a positive representative of the Gardens both internally and externally at all times.
  • Must work with respect and cooperation at all times with fellow employees and the public.
  • Must be committed to working safely at all times.
  • Bachelors degree and/or combination of education and equivalent experience is required.
  • Minimum of 2 years of experience in hospitality and/or recreation industry.
  • Excellent written, spoken, and interpersonal communication skills required.
  • Up to 10% travel required.
  • Requires the ability to travel to remote locations (or other Garden locations) where environment may vary significantly.

Responsibilities

  • Ensures account management, contract negotiation, and achieving revenue goals including on-site sales calls.
  • Responsible for accomplishing and consistently meeting or exceeding established sales goals.
  • Serves as an on-site venue representative.
  • Is present for the entirety of all assigned functions/rentals, maintains a positive, pro-active, solution-oriented demeanor when responding to or serving clients, members, visitors, and staff.
  • Coordinates for client meetings, site visits, walk-throughs, and event execution.
  • Coordinates moving assigned sales leads through each stage of the sales process until successful completion of the event.
  • Cultivates and maintains positive and professional client and vendor relationships.
  • Responds to phone and email inquiries on a daily basis.
  • Creates proposals, contracts, and detailed floorplans for clients.
  • Ensures the safe and efficient oversight of clients’ events.
  • Independently troubleshoots situations to the satisfaction of the client and within gardens regulation.
  • Notifies security and senior management of any unusual circumstances/safety issues that may occur.
  • Ensures all events are set properly, per the clients’ contract, and any last-minute adjustments are incorporated to the satisfaction of the client and the Gardens policies.
  • Checks and coordinates deliveries are being sent to the correct locations, including but not limited to flowers, liquor, dance floors, tables, and chairs.
  • Completes required paperwork at the end of each event.
  • Reports all damage to the property of Denver Botanic Gardens to the Manager of Private Events within the next business day after the event.
  • Ensures all event vendors abide by all Denver Botanic Gardens rules including but not limited to kitchen use, clean up and waste removal, and post-event inspection.
  • Maintains a satisfactory, positive working relationship with managers, co-workers, clients, and others.
  • Ensures all policies and procedures in the Events Department are adhered to.
  • Works to ensure the highest quality of visitor experience.
  • Works’ aspects of events as assigned including assisting public events.
  • Regular attendance at the worksite may be required.
