About The Position

The Vendor Operations & CapEx Manager is the connective tissue between AHS vendor relationships, capital improvement execution, and operational field quality. This role manages the full vendor lifecycle — from sourcing and pricing to performance and national agreements — while also owning property inspections, CapEx planning and project execution, preventative maintenance programs, and PM/owner escalation support. As AHS scales into new markets, this role is central to standing up vendor networks and delivering consistent product quality from day one.

Requirements

  • 3–5 years of experience in property management, construction management, or a related field with direct vendor management responsibility.
  • Demonstrated track record of negotiating favorable vendor pricing and maintaining high-performing vendor relationships.
  • Experience with CapEx planning, project management, and contractor oversight.
  • Strong analytical skills; comfortable reviewing invoices, building cost models, and presenting data-backed recommendations.
  • Excellent field judgment — ability to assess property condition and translate observations into actionable capital plans.
  • Strong written and verbal communication; comfortable presenting findings to owners and leadership.
  • Familiarity with AppFolio, BuilderTrend, or comparable platforms preferred.
  • Walking: Regularly required to inspect properties, meet with residents, and move around the property.
  • Standing: Frequently required to conduct property inspections, meet with residents, and perform office tasks.
  • Sitting: Regularly required to perform office tasks, such as computer work and paperwork.

Responsibilities

  • Own and drive all preferred vendor relationships across AHS markets — sourcing, onboarding, and ongoing performance management.
  • Negotiate and execute vendor pricing agreements; achieve and sustain year-over-year cost reductions across key trade categories.
  • Manage and expand vendor trees per market; ensure adequate coverage, redundancy, and tiered escalation paths.
  • Lead invoice control team — review, audit, and enforce pricing accuracy across all vendor invoices.
  • Manage vendor escalations; serve as final resolution point before escalating to Director of Operations.
  • Conduct and document vendor pricing walks for due diligence engagements and new market onboarding.
  • Develop and maintain national vendor agreements and strategic relationships with regional and national trade partners.
  • Expand vendor networks into new markets in advance of AHS launch; ensure day-one coverage for all critical trades.
  • Evaluate and report on vendor performance metrics: response time, completion rate, callback rate, cost variance, and owner satisfaction impact.
  • Lead and coordinate property condition walks for capital inspections, due diligence engagements, and new client onboarding.
  • Develop standardized inspection scope and documentation frameworks; ensure consistent reporting across all markets.
  • Produce executive-level condition reports with prioritized repair schedules, cost estimates, and deferred maintenance risk assessments.
  • Coordinate multi-person inspection teams across geographically dispersed properties; manage logistics and data collection.
  • Support acquisition due diligence by providing credible, defensible CapEx projections for prospective portfolios.
  • Own end-to-end CapEx project management: scope development, bid solicitation, contractor selection, execution oversight, and owner closeout reporting.
  • Develop CapEx preservation plans by property and portfolio; align capital spend with owner investment objectives and reserve schedules.
  • Manage OpEx bid and execution plans for large-scope repairs and planned maintenance projects.
  • Oversee construction and renovation projects in coordination with the Regional Construction Manager and Project Managers.
  • Track project timelines, budgets, and completion milestones; proactively communicate variances to owners and leadership.
  • Negotiate CapEx pricing in bulk — leverage portfolio volume to secure favorable terms from contractors and material suppliers.
  • Manage project documentation: executed contracts, lien waivers, inspection sign-offs, and warranty records.
  • Develop, implement, and manage portfolio-wide preventative maintenance (PM) plans across all AHS-managed communities.
  • Coordinate PM scheduling with maintenance coordinators and field technicians; track completion rates and compliance.
  • Use PM program data to reduce reactive work order volume and demonstrate owner value through proactive care.
  • Identify systemic property issues through PM inspection data; escalate capital planning needs accordingly.
  • Build PM program offerings as a client-facing value proposition for new owner onboarding and external engagements.
  • Serve as a senior escalation resource for Property Management on complex maintenance, vendor, and CapEx issues.
  • Engage directly with owners on escalated repair decisions, CapEx recommendations, and capital planning conversations.
  • Support the Director of Operations on high-visibility owner communications requiring operational credibility and detail.
  • Document and track escalation resolution; identify recurring patterns that signal systemic vendor or property issues.
