About The Position

The Vendor Management Analyst I supports the Digital Business Transformation (DBT) organization under the CIO by assisting in the coordination, administration, and tracking of vendor-related activities across a diverse portfolio of technology vendors and contracts. This is an entry-level role that provides operational and administrative support to the Senior Vendor Manager. The position focuses on executing day-to-day vendor management tasks, supporting onboarding and contract processes, and ensuring vendor-related activities are organized, documented, and progressing efficiently. The role also supports ongoing process improvement and automation efforts by maintaining documentation and standard work. Success in this role requires strong attention to detail, organization, communication, and follow-through across a high volume of tasks and stakeholders.

Requirements

  • Bachelor’s degree preferred; equivalent experience considered.
  • 1–3 years of experience in administrative support, vendor coordination, procurement, or related field.
  • Experience working in a corporate or IT environment preferred.
  • Familiarity with contract, procurement, or vendor management processes is a plus.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Exceptional attention to detail with a high degree of accuracy in tracking contracts, tasks, and documentation.
  • Strong organizational and time management skills, with the ability to manage multiple priorities, deadlines, and follow-ups.
  • Excellent written and verbal communication skills; able to coordinate effectively across vendors and cross-functional stakeholders.
  • Strong follow-through and ownership mindset; proactively tracks items to completion and ensures nothing falls through the cracks.
  • Ability to work in a fast-paced, highly cross-functional environment with frequent context switching.
  • Comfortable working in structured, process-driven environments with a focus on documentation, tracking, and compliance.
  • Demonstrates reliability, responsiveness, and accountability in day-to-day execution.
  • Ability to identify issues and escalate appropriately.
  • Willingness to learn vendor management processes, systems, and tools.

  • Required to sit and stand for long periods; talk, hear, and use hands and fingers to operate a computer and telephone keyboard (Frequent)
  • ITAR Requirement: This position requires access to information that is subject to compliance with the International Traffic Arms Regulations (“ITAR”) and/or the Export Administration Regulations (“EAR”). In order to comply with the requirements of the ITAR and/or the EAR, applicants must qualify as a U.S. person under the ITAR and the EAR, or a person to be approved for an export license by the governing agency whose technology comes under its jurisdiction. Please understand that any job offer that requires approval of an export license will be conditional on AeroVironment’s determination that it will be able to obtain an export license in a time frame consistent with AeroVironment’s business requirements. A “U.S. person” according to the ITAR definition is a U.S. citizen, U.S. lawful permanent resident (green card holder), or protected individual such as a refugee or asylee. See 22 CFR § 120.15. Some positions will require current U.S. Citizenship due to contract requirements.

Responsibilities

  • Supports the Senior Vendor Manager in day-to-day vendor and contract management activities.
  • Coordinates vendor onboarding, including submitting IT tickets, tracking progress, and ensuring vendors have required system access, equipment, and resources.
  • Coordinates consultant onboarding/offboarding, PO processing and work with Legal on NDA requests, Consulting Agreements and Master Services Agreements.
  • Tracks contracts, statements of work (SOWs), amendments, and related documentation through approval workflows to ensure timely execution.
  • Maintains accurate records of vendor contracts, renewals, expirations, and key milestones.
  • Follows up with internal stakeholders and vendors to ensure completion of required tasks and documentation.
  • Assists in monitoring vendor compliance with contractual requirements and organizational processes.
  • Supports scheduling, coordination, and documentation for vendor-related meetings and reviews.
  • Helps manage intake, routing, and status tracking of vendor-related requests within the DBT organization.
  • Identifies and escalates risks, delays, or issues to the Senior Vendor Manager.
  • Maintains and updates vendor management trackers, templates, and reporting tools.
  • Documents key vendor management processes and workflows to support standardization and automation initiatives.
  • Maintains and updates desktop procedures, job aids, and standard operating instructions for the vendor management function.
  • Supports automation efforts by ensuring processes are clearly defined, documented, and kept current.
  • Assists in basic reporting and data validation related to vendor performance, contracts, and spend tracking.
  • Performs data entry and ensures data accuracy across vendor management systems.
  • Provides general administrative and coordination support across the vendor portfolio.
  • Other duties as assigned.
