About The Position

The Vendor Administrator is responsible for creating and maintaining vendor records in Yardi for all vendors at all properties. This role manages vendor relationships by responding to questions about setup and compliance, working with site staff to ensure communication to vendor aligns with company policy, and facilitates continued compliance throughout the course of the company’s relationship with the vendor.

Requirements

  • High School Diploma
  • 2+ years of vendor management, accounts payable, or financial experience (or equivalent combination of education and experience)
  • Proficient in financial management software (e.g., Yardi, MRI, QuickBooks) and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments and levels of the organization.
  • Detail-oriented with a high degree of accuracy and analytical problem-solving skills.
  • Proactive, self-motivated, and able to prioritize and manage multiple tasks in a fast-paced environment.
  • Commitment to integrity, ethics, and professionalism in all aspects of work.

Nice To Haves

  • Associates’s degree in Accounting, Finance, or related field
  • Proficient in financial management software (e.g., Yardi, MRI, QuickBooks) and Microsoft Office Suite (Excel, Word, PowerPoint).

Responsibilities

  • Manage the vendor inbox and respond to all inquiries within 24-48 hours.
  • Obtain new vendor information (via the vendor inbox) and send the vendor the invitation to setup their VendorCafe’/VendorShield account.
  • Assist vendors with their setup as questions may arise.
  • Review the status of vendor setups – communicating with internal team members who can help remedy issues.
  • Consistently monitor vendor records to ensure they remain up-to-date – remove duplicates, manage inactive vendor indicator; update vendor defaults as directed.
  • Liase with risk management partners to ensure vendor compliance to our requirements.
  • Perform other duties as assigned by the supervisor or as needed for business operations.
