About The Position

The Vaccine Program Coordinator is responsible for the comprehensive oversight, coordination, and implementation of all vaccine-related activities at Codman Square Health Center. This role ensures operational efficiency, clinical compliance, and the promotion of health and safety through the management of immunization services for patients and staff. Reporting directly to the Chief Nursing Officer, the Coordinator works across clinical units to maintain adequate vaccine supply, facilitate staff vaccination and onboarding processes, lead immunization clinics, and oversee employee health immunization compliance.

Requirements

  • Licensed Practical Nurse (LPN) or Registered Nurse (RN) in the Commonwealth of Massachusetts.
  • Minimum of 2 years of experience in vaccine administration, public health, or ambulatory care settings.
  • Demonstrated ability to coordinate complex clinical programs across multiple teams.
  • Strong organizational, analytical, and communication skills.
  • Written Communications: Ability to summarize and communicate in English moderately complex information in varied written formats to internal and external customers.
  • Oral Communications: Ability to comprehend and communicate complex verbal information in English to medical center staff, patients, families and external customers.
  • Knowledge: Ability to demonstrate in-depth knowledge of concepts, practices and policies with the ability to use them in complex varied situations.

Nice To Haves

  • Experience with EMR systems and immunization registries (e.g., MIIS) preferred.
  • Experience in health centers, hospital and/or academic administration.
  • Bachelor's degree preferred.

Responsibilities

  • Oversee vaccine inventory and maintain appropriate par levels across all units to ensure uninterrupted availability.
  • Coordinate vaccine ordering and ensure timely receipt and proper storage according to CDC and manufacturer guidelines.
  • Collaborate with unit clerks and nursing staff to maintain accurate inventory records and reconcile vaccine usage.
  • Lead and manage employee vaccination processes, including administration of required vaccines for new hire clearance in accordance with organizational policy.
  • Monitor onboarding vaccine compliance and communicate with Human Resources and Occupational Health to ensure timely clearance.
  • Serve as primary liaison for employee vaccine-related inquiries and documentation.
  • Plan, coordinate, and lead annual Flu Clinics and other community or organizational immunization events (e.g., COVID-19, school-entry vaccines, travel clinics, etc.).
  • Partner with clinical and administrative staff to ensure high-quality clinic operations, data collection, and follow-up.
  • Track and monitor immunization compliance for all employees, ensuring alignment with regulatory requirements (e.g., OSHA, DPH, HRSA).
  • Maintain up-to-date records in employee health files and ensure timely reporting of immunization status to appropriate internal and external stakeholders.
  • Analyze immunization data to identify gaps and support continuous quality improvement efforts.
  • Work collaboratively with nursing, infection control, operations, and quality teams to implement best practices in immunization delivery.
  • Participate in organizational committees related to infection prevention, quality, and compliance as appropriate.
  • Educate clinical staff on updates to vaccine schedules, protocols, and documentation standards.
